Job Description

Jane Norman College is seeking an Associate Registrar. Jane Norman College is a small, not-for-profit, private College that educates human services professionals in Truro and in other locations across Nova Scotia. The position is full-time and located in Truro, NS. A solid candidate would be an experienced, self starter able to work with the Registrar to support all aspects of the Colleges academic programs and the Colleges services. The role entails academic, financial, team, and administrative duties which include:

  • Managing records
  • Ordering textbooks/working in library
  • Banking/recording responsibilities
  • Working with various software programs
  • Working with the students, the public, vendors, and government departments
The College is looking for the following qualifications and experience:
  • Undergraduate degree, preferably, in Child and Youth Studies, English, Psychology, or Sociology
  • Two years in a client-focused, administrative setting
  • Basic bookkeeping experience/understanding
  • Aptitude with various software programs including MS Office Suite
The following would be considered assets:
  • Previous regulatory experience
  • Experience in an Adult Learning environment
A combination of education and experience will be considered.The compensation package will be commensurate with education and experience. We are looking for someone who would like to work in busy, small office and enjoys a team atmosphere.Please see below for a full description of the role responsibilities and qualifications/experienceAssociate Registrar - Jane Norman CollegeAs a member of the administrative team and reporting to the Registrar, the Associate Registrar (AR) supports all aspects of the colleges academic programs and the implementation of the long-term goals and objectives of the colleges programs. The AR is responsible for the colleges front office which includes banking and recording of cash payments, managing student records, ordering textbooks, managing the library, updating many of the Colleges databases. The AR works to effectively strengthen and streamline many of the Colleges processes.Operational Responsibilities:Academic
  • Works with Registrar to plan, create, amend, and monitor all College documentation as it relates to students, including but not limited to student contract, student manual, academic calendar, application forms, internal regulations, historical documentation, and student requirements.
  • Ensures all required paperwork from students and community partners is completed and submitted on time before official acceptance.
  • Works with Registrar on software programs/databases (Campus Login/LAMPSs) to input information, to create student records, to maintain accurate student records, to update as necessary with personal, academic, or financial information.
  • Works with Registrar to ensure all marks, certifications, regulatory requirements are in order prior to students graduation.
  • Works with Registrar, as necessary, to clarify student issues and concerns.
  • Provides administrative support to Registrar as required, including filing, moving student files, researching academic requirements, word processing.
  • Reviews and executes student contracts with new students, as necessary.
  • Act in Registrars stead as required.
Financial
  • Manages payment systems used by the College to aid customers in making payments.
  • Processes payments via e-transfer, credit card, cheques, and cash.
  • Works with vendors (banks, Interac, MC/Visa) to troubleshoot.
  • Checks online banking, keeps track of payments, and makes bank deposits.
  • Produces weekly payment logs for Executive Director.
Administrative/Library
  • Helps plan, coordinate, and host College events.
  • Runs/responsible for the operations of the front desk, including ordering of supplies and classroom management.
  • Serves students and public in finding texts and periodicals.
  • Orders, takes delivery, and keeps financial records for all textbooks.
  • Maintains Library World (library system).
  • Works with publishers to ensure samples textbooks are available to faculty.
  • Participates in College staff meetings and internal functions.
  • Fills in for Administrative Support as needed.
  • Performs any other related duties, as necessary.
Team
  • Acts as college representative with external organizations and committees.
  • Represents the Registrar, as required.
  • Acts in a supervisory capacity with Administrative Support.
Qualifications and Education Requirements:
  • Undergraduate degree, preferably, in Child and Youth Studies, English, Psychology, or Sociology
  • Two years in a client-focused, administrative setting
  • Basic bookkeeping experience/understanding
Assets:
  • Experience in an Adult Learning environment.
  • Experience with and interest in office systems/databases.
  • A suitable combination of education and experience may be considered.

Working ConditionsThe office of the Associate Registrar (AR) is located at the front office of JNC campus in Truro, NS. The AR is expected to maintain standard office hours with occasional evenings and weekends, as required, to accommodate meetings and/or training. The position may require some travel around Nova Scotia.CompensationThe starting salary for the successful candidate will be commensurate with education and experience.
