Job Description

Administrative AssistantAbout The CMMThe Confederacy of Mainland Mi’kmaq (The CMM) is a Tribal Council representing eight, Mi’kmaq communities of mainland NS. Our mission is to proactively promote and assist Mi’kmaq communities’ initiatives towards self-determination and enhancement of community. The CMM main office is in the Millbrook Mi’kmaw Community in Nova Scotia and has over 120 Employees. The CMM’s Department of Aquatic Resources and Fisheries Management is currently looking for an energetic, mature, and independent candidate to fill the role of Administrative Assistant.The MCG is focused on promoting and restoring the concept of Netukulimk in Nova Scotia’s watersheds. To ensure that future generations will have access to a healthy environment. The MCG team targets its work on a variety of marine and freshwater management projects and participating in programs that involve youth mentorship and building Mi’kmaw capacity. The MCG also addresses issues related to species-at-risk, water quality, commercial fisheries and directed habitat restoration.Position OverviewUnder the direction of the Senior Director of Aquatic Resources and Fisheries Management, the Administrative Assistant is responsible for providing a variety of administrative and clerical tasks including but not limited to organizing and scheduling meetings, maintain inventories and databases, order office supplies and assist with project outreach/engagement activities.Key Areas of Responsibility

  • Organizing and scheduling appointments and meetings and taking meeting minutes as required.
  • Assisting with the creation of job postings and job descriptions.
  • Assisting in the preparation of regularly scheduled reports.
  • Developing and maintaining filing system and equipment inventories.
  • Ordering office supplies as needed.
  • Maintaining contact lists and community member training skills database.
  • Liaise with staff and the Finance department to: ensure invoices, cheque, visa requisitions, quarterly project budgets and transaction reports are accurate and complete.
  • Replying to email, telephone, or face to face inquiries as well as receiving, sorting, and distributing mail.
  • Assisting with project outreach/engagement activities and their execution.
  • Creating and maintaining a Community Event’s calendar.
  • Assisting with report writing and preparing PowerPoint Presentations for Management and communities.
Position Requirements:
  • Post-secondary degree or diploma in office administration or management or a related field or relevant working experience in a related field
  • Experience working in or with First Nation communities
  • Experience working in a fast-paced environment
  • Strong organizational skills.
  • Ability to work independently and with minimal supervision.
  • Ability to work productively as part of a team.
  • Proficiency in common office software (e.g. Microsoft Office, Excel, PowerPoint, etc.)
  • Excellent communication skills, written and spoken
  • Must have access to a vehicle and have valid driver’s licence.
Asset Qualifications (Not required):
  • Knowledge and understanding of fish habitat/migration.
  • Valid First Aid/CPR and WHMIS certification.
  • Previous experience in non-profit sector.
