Offering technical, undergraduate and graduate programs in agriculture, environment and related life and social science disciplines, the Faculty of Agriculture educates future leaders and generates knowledge and innovative solutions for healthy, sustainable societies. Reporting to the Manager, Extended Learning (EL), the Office Coordinator (OC) will provide effective and efficient day-to-day administrative support for EL activities and the EL Manager and team, playing a key role in budget administration, records management, facility management, and departmental administrative functions.Key Responsibilities

  • Develop the annual operating budget for the unit under the supervision of the EL Manager. Compile data required for budget preparation and projections, initiate coordination of budget forecasts with Program Managers and EL Manager, compile all information gathered into budget templates.
  • Monitor unit finances, complete monthly reconciliations, analyze variances and advise on budget implications, and identify and research issues. Complete ongoing analysis with EL Manager regarding expenditures and revenue targets.
  • Prepare revenue deposits and journal entries. Manage accounts receivables. Maintain electronic and paper filing systems for financials and ensure expenditures are billed accurately and correctly coded.. Provide Program Managers with individualized financial reports following the close of each course.
  • Maintain electronic and paper filing systems for courses/programs. Maintain all EL student records including archived material. Prepare for entry and/or enter data in specialized course registration system (Destiny One).
  • Complete and code all Payroll forms including payroll profiles, casual payroll, exception payments and timesheets. Complete paper work for payment to instructors. Investigate and follow-up with Human Resources regarding payroll issues.
  • Provide back-up for Program Coordinator during peak periods and absences.

However, health and safety risks to our community will continue to be monitored and a vaccine mandate may be reinstated if necessary.QualificationsBusiness or Office Administration Diploma with approximately 3 – 5 years’ related experience, ideally in an educational setting (or equivalent combination of training and experience) is required. Experience in financial processes and budget monitoring is required. Must have proven excellent interpersonal, customer service and communication (verbal and written) skills. Strong initiative, flexibility and organizational skills with the proven ability to manage multiple concurrent activities in a busy, high change environment is required. Must have experience with Word, Excel, PowerPoint and PDF, and the proven ability to learn new software programs quickly. This position will have occasional contact with livestock, chemicals, feed ingratiates and moderate to heavy equipment as part of the practical component of programs offered.
