Job Description

Location: Markham, Ontario:What is the roleThe Administrative Assistant performs administrative services, as required for members of the Real Estate and Construction department. They will also serve as the administrative primary point of contact for both internal and external communications.What will you do

  • Create purchase orders using NAVII, process invoices and ensure all billings are up date and accurate.
  • Create capital expenditure requests and utility requisition forms
  • Responsible for tracking all capital expenditure costs/expenses for budgeted and unbudgeted maintenance related projects
  • Maintain project related files, invoices and expenses in their perspective files and organized
  • Year-end reconciliation with finance/accounting
  • Assistance to the Franchise and Leasing Department as required
  • Responsible for Energy Management Program
  • Responsible for Garbage and Recycling Program
  • Responsible for Utility Management
  • Preparation of Monthly Accrual
  • Assistance required to dispatch maintenance calls
  • Other administrative support
What will you need to succeedEducation and Experience
  • Post-Secondary education in a related field, an asset
  • 1-2 years of general administrative experience would be an asset.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point)
Knowledge and Skills
  • Ability to track open items from Management Meetings, Committees, and other tasks
  • Excellent organizational and time management skills
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Ability to work under pressure in an environment where priorities may suddenly shift
  • Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment
  • Ability to interface with a variety of internal and external contacts
