This key position has direct impact on revenue generation for the unit. This includes sales and registration support, marketing support, and administrative support for all Business Development efforts.This position works collaboratively within a cross-functional team environment to provide world class service to our clients, faculty, partners, and stakeholders.This position is located at the UBC Robson Square campus.Organizational StatusThis position reports to the Business Development Sales ManagerWork PerformedSupports the marketing team, provides promotional design and layout work.Designs, develops and maintains promotional, communication, presentation and program materials and templates ensuring compliance with Sauder and UBC branding guidelines.Conducts research on content and gathers related materials from a variety of sources.Prepares materials for distribution by performing tasks such as proofreading drafts, completing reference work, and editing.Oversees arrangements for printing and distribution of materials.Provides sales and registration support to individual clients purchasing Executive Education courses, as well as corporate clients purchasing in-house and custom courses.Provides input on format and design of sales presentations and proposals.Responsible for maintenance of EE website; including creation of new web content and monitoring of website analytics.Designs and update business surveys conducted by the unit.Plans and provides logistical support for conferences, tradeshows, and other events.Coordinates projects, and oversees the organization of workshops, presentations, conferences, and meetings.Processes marketing and advertising invoices and provides finance support.Creates, compiles and distributes online course evaluations for Open Enrolment programs.Compiles evaluation results and company spend reports to be circulated to stakeholders.Updates courses and offering as well as client and company profiles on registration system.Creates operation and sales reports for discussion in weekly team meetings.Processes individual and company registrations and payments.Issues receipts, invoices, refunds and attendance confirmation letters and completion certificates.Creates online course evaluations and design custom client program evaluations.Updates courses and client and company profiles on ERS system.Provides other administrative support and duties as needed.Consequence of Error/JudgementThis position plays an important role in the operational execution of the Sales and Marketing strategy for Executive Education and has a direct impact on revenue. Decision-making requires the application of established methods and procedures and is based on thorough knowledge of the policies and procedures of UBC and Sauder School of Business. The incumbent exercises considerable judgement and must demonstrate tact and discretion. Consequence of errors is high and incorrect actions may directly damage client relationships, contracts, participant experiences, and the reputation of the program, school, and university.Supervision ReceivedThe incumbent is expected to work independently, under the direct supervision of Business Development Sales ManagerSupervision GivenOversees work delegated to Program Assistant and students.Preferred QualificationsHigh School graduation and two years post-secondary education and3 years of related experience or the equivalent combination of education and experience.Proven customer service skills essential, especially in a business environment.Ability to work in a fast paced environment, prioritize work, multi-task and meet deadlines.Ability to maintain accuracy and attention to detail.Ability to use word processing, spreadsheet, Power point and electronic mail application at an intermediate to advanced level.Basic competence in Adobe Photoshop, Adobe InDesign, and Adobe Dreamweaver required.Written Mandarin language skills an asset.
