Allard School of Law at the University of British Columbia, Vancouver campus, which is located on the traditional, ancestral and unceded territory of the Musqueam people. Our organization provides free legal advice and representation to clients who would otherwise be unable to afford legal assistance. We operate client intake clinics throughout the Lower Mainland of British Columbia. The day-to-day operation of the program is run by a six-member Student Executive board and all of the program’s clinicians are law students. The work of the program’s clinicians is overseen by the program’s three supervising lawyers. LSLAP is formally governed by the Greater Vancouver Law Students’ Legal Advice Society (“GVLSLAS”), a non- profit organization incorporated in 1978.How to Apply: Please e-mail your consolidated PDF application, including cover letter, resume, and list of references to Brittney MacBean, Internal Relations Director. Reference letters are not required but will be taken into consideration.Weekly Hours of Work: Full-time, 40 hoursSchedule: Monday to Friday, 8:30 AM to 4:30 PMSalary: $40,000-$45,000 per annum, dependent upon experience.Benefits: The Administrative Assistant will be eligible to participate in all employee benefit plans made available to the non-student employees of GVLSLAS. The GVLSLAS has an ongoing pension plan.Responsibilities:

  • Unlocking and locking the office at the beginning and end of day;
  • Formatting, editing and sending all outgoing correspondence, including by fax, mail and courier;
  • Forwarding all incoming mail and faxes to the appropriate law student or lawyer;
  • Creating and maintaining a database of bring-forward, limitation and other important dates for all files, and communicating these dates to the responsible law student or lawyer as they approach;
  • Acting as first point of contact for any visitors to the office;
  • Assisting in file statistics tracking and final file close procedures;
  • Maintaining and updating the Executive Director’s funding grant schedule;
  • Ordering office supplies and legal publications
  • Ordering repairs for the office equipment when necessary;
  • Assisting in off-site file storage and management;
  • Maintaining the Supervising Lawyers’ clinician booking sheets;
  • Maintaining and updating clinician contact information;
  • Maintaining and updating LSLAP’s internal documents and memoranda;
  • Maintaining and clean and professional workspace, including preparing the office for visits by funders and members of the legal community;
  • Liaising with University of British Columbia administrative and information technology staff when necessary;
  • Assisting the Supervising Lawyers and Student Executive with any administrative tasks as required;
  • Assisting the LSLAP-for-Credit Program with any administrative tasks as required;
  • Assisting the SLFS-LSLAP Program with any administrative tasks as required.
Qualifications:
  • 2 years experience in administrative work, or the equivalent combined work and educational experience;
  • Proficiency in Microsoft Work, Adobe Read, Microsoft Excel, Google Documents.
  • Ability to multi-task and work as part of a dynamic team;
  • Experience in a legal office and/or the not-for-profit sector are assets.
