Job Description

Miles HR has an opportunity for detail-oriented and highly organized Project Administrator to join a busy Architectural firm in Vancouver, BC. The ideal candidate will have experience in project management within the construction industry and possess strong skills in utilizing various software tools.This is one year contract with the potential of becoming a permanent opportunity. Responsibilities:

  • Coordinate project activities and ensure all project phases are completed efficiently
  • Assist in creating project schedules, budgets, and timelines
  • Collaborate with project managers, architects, and subcontractors to ensure smooth project execution
  • Utilize construction management software to track project progress and update stakeholders
  • Companywide invoicing ensuring all stakeholders are included at all times, tracking of extras and hourly billing, monthly reporting on job profitability
  • Weekly/monthly review of staff hours
  • Review project budgets in depth as required
  • Monthly reporting on staff utilization
  • Time and budget tracking software management
  • Tracking of all prospect jobs
  • Draft all proposals and ensuring they are submitted on time
  • A/R and Collections
  • Facilitate signing of submission documents
  • Onboarding of new staff, general admin work
  • Other duties as assigned
Experience:
  • Project Management experience required
  • Invoicing, A/R experience
  • Experience working in Architecture or Construction industry required
  • Proficiency in project management tools such as Mosaic
  • Experience drafting proposals required
  • Strong time management skills to meet project deadlines effectively
  • Familiarity with construction management software applications
  • Exceptional attention to detail and proven ability to meet deadlines
  • Experience working on build projects with a focus on quality and safety standards
  • Excellent communication skills to liaise with internal teams and external partners
  • Familiarity with tools for document management and collaboration
