Job Description

Job descriptionWe are looking for a motivated candidate to join our rapidly growing multicultural team as an Administrative Assistant to assist us with our clients and everyday business.Please note that this position will require some rotatation between our 2 offices (one is next to New Westminster SkyTrain Station and another is next to Burrard SkyTrain Station in Downtown Vancouver). You will not have to move during the same day, but a few days will be one office and few in the other one, depending on the schedule.Job Duties:

  • Perform administrative duties such as answer phones, reply to emails, creating contracts, handle mail, and perform other jobs critical to office operations.
  • Maintain paperwork/contracts and organizing clients documents.
  • Schedule and confirm appointments and meetings of senior management.
  • Responding to prospective clients and following up with them.
  • Generating prospective clients and turning them into opportunities for sales.
  • Meet and greet with clients/prospective clients.
  • Negotiating prices with potential clients and closing sales.
  • Building long term relationships with new and existing clients.
  • Prepare client paperwork/complete draft forms for review by Immigration team.
  • Manage calendar of senior management
  • Send out invoices/receipts and assist clients make payments.
  • Ensuring all administration relating to sales is completed effectively.
  • Maintain and organize files, work areas, and office equipment.
  • Professionally direct the flow of information and traffic in the office including phone calls, appointments, and inquiries.
  • Regularly check and order all supplies to maintain office efficiency* (some items to be ordered only with supervisor’s consent).
  • When required, keep minutes of meetings.
  • Coordinate/create special reports and projects when necessary and as assigned by the Senior Management.
  • Perform special assignments, any other related duties as assigned by the Senior Management when necessary.
  • Adhering to the SOPs as provided by Senior Management
  • Making reports on Microsoft Excel and/or other CRM softwares.
  • Report on a daily basis to supervisor

Required Qualifications:
  • Good communication and interpersonal skills
  • Very good command of the English language, written and verbal
  • Any additional languages would be an asset
  • Able to sit for extended time periods
  • Good vision, either natural or with corrective lenses
  • Able to perform several varying tasks simultaneously
  • Must be able to work additional hours if requested outside of the traditional work schedule* (legally permissible)
  • Must have good attendance and punctuality
  • Able to operate and maintain office MFC (Copier, Scanner, Printer), calculator, and computer for extended time periods
  • Proficient at sending and receiving emails
  • Using Microsoft Word/Excel and using Apple Computers.
  • Using Adobe PDF product line (including creating documents and preparing sign documents on it)
Additional Qualifications that would be preferred:
  • Additional languages are an asset.
  • Prior experience in this field is an asset.
