Reporting directly to the Administration Supervisor, this role will help with the processing of payables and support purchasing controls among other administrative duties.   • Receive and code invoices from purchase order and process accurately for Manager approval
  • Vendor management, including setting up of new vendors, escalating payments for critical vendors, and following up with vendors as needed for payment statuses
  • Submitting employee expenses and expense sheets
  • Invoice reconciling and accruals for month end
  • Reconciling of fuel and raw materials inventory
Purchasing Controls
  • Act as a person of contact for various small to mid-sized vendors
  • Work closely with Supervisors/Management regarding purchase requests, support the purchase order process and submit to vendor when required
  • Review/ facilitate the completion/ submission of vendor qualification paperwork and submit to safety department for final review if any data is missing or questionable
  • Review purchasing trends for existing vendor agreements and make recommendations for improvements
Admin
  • Data entry, facilitation of required paperwork, and support of month end procedures as needed
  • Provide Reception and switchboard relief, as well as holiday/illness coverage for various positions on our Administrative team
  • Other duties as required
Preferred Experience and Skills:
  • 3+ years of administrative experience
  • Previous experience in accounts payable and/or bookkeeping is an asset
  • Customer relations experience is preferred
  • Ability to prioritize assignments and work on a variety of tasks simultaneously
  • Exceptional interpersonal & communication skills
  • Must be detailed oriented, organized and accurate
  • Must be self-motivated, fast-paced, able to work independently and multi-task, and thrive in a fast paced environment with tight deadlines
