The College is a BC health regulatory body and is a vital link in the chain of trust between patients, pharmacists and pharmacy technicians. We are looking for a team player who has an acute attention to detail and excels in following processes. Reporting to the Complaints & Investigations Operations Manager, this position is based in Vancouver and is responsible for providing direct administrative support to the Complaints and Investigations department.Essential Duties

  • Prepares, updates, proofreads, formats, and transcribes documents (letters, reports, manuals, forms & others).
  • Creates, files, and maintains department’s paper/electronic records and templates.
  • Monitors and distributes inquiries from the CPBC Complaints Mailbox; and responds to emails as necessary.
  • Makes arrangements for meetings, including preparing agenda and supporting documents, creating minutes and taking minutes at meetings as required, and setting up meeting rooms and IT equipment.
  • Maintains all databases.
  • Maintains SharePoint virtual folders and FTP servers for contractors, legal counsels, and committees.
  • Inputs and monitors deadlines on team calendar; tracks deadlines for undertakings, and correspondences from registrants and contractors.
  • Communicates with internal and external stakeholders regarding administrative related matters.
  • Prepares and uploads all Inquiry Committee meeting related materials for committee members.
  • Photographs and logs evidence as required.
  • Secures, stores, and releases evidence to appropriate parties as needed.
  • Assists with the maintenance of the evidence room.
  • Works with supervisor to identify, streamline and improve business processes.
  • Supports the department as assigned by supervisor.
Qualifications & Skills
  • Minimum 3 years of office experience
  • Proficient in Microsoft Office applications including Outlook, Word, Excel
  • Strong detail orientation and drive for accuracy
  • Experience working in a legal environment an asset
  • Good interpersonal skills and strong team orientation
  • Good organizational skills with ability to multi-task and prioritize
  • Ability to be flexible and adaptable in a fast paced environment
  • Good written and verbal communication skills
  • Ability to deliver results under pressure and during times of ambiguity
