Connecting health teams, streamlining workflows, and empowering patients to manage their health are just some of the ways our digital solutions promote collaboration and efficiency.As an Administrative Associate, you will work in a clinical setting as part of a multidisciplinary team to provide health and wellness solutions to our clients. You will liaise with other clinic staff, physicians and administrators to ensure effective and timely delivery of our services.What you’ll do

  • Book appointments by phone and email
  • Effectively manage all tasks and follow-up related to telephone or email inquiries
  • Maintain up-to-date client information in system database (i.e. contact information, demographics, etc.)
  • Provide general customer service by answering questions and providing information about TELUS Health Care Centres and its services
  • Email appointment confirmations and instructions to clients ahead of their assessments
  • Fax prescription renewal requests to pharmacies
  • Submit referrals and records requests to specialists’ offices
  • Notify patients of specialist appointments
  • Organize and file paper charts
  • Deliver (electronically and/or via Canada Post) reports and results to patients, family doctors and specialists, as requested
  • Perform data entry tasks
  • Manage a large volume of files, requests for corrections, addenda, referrals, and follow-ups, etc.
  • Ensure satisfaction of all clients and healthcare professionals by taking their specific requirements and needs into consideration
  • Provide clinic support and vacation coverage (i.e. assist with scheduling, answering phones, and other admin-related tasks), as necessary
  • Provide front desk reception relief and support as required
  • Work collaboratively and effectively with all team members to provide a welcoming and client-focused work environment
QualificationsWhat you bring
  • High school diploma
  • 1-2 years of relevant experience in a medical or similar field desired
  • Excellent verbal and written communication skills
  • Proficiency with Microsoft Office applications (Word, Outlook, Excel and PowerPoint)
  • Commitment to providing an excellent level of customer service and respect for confidentiality
  • Demonstrates a high level of attention to detail, accountability and sound judgement
  • Ability to work well under pressure, prioritize, and demonstrate a sense of urgency in completing time sensitive tasks in an efficient manner
  • Ability to work effectively within a team environment, as well as independently with minimal supervision
  • Knowledge of medical terminology an asset
