Are you passionate about social mission organizations Are you a coordinator or executive assistant looking to gain more experience in operations and the non-profit sector Do you have an interest or experience in supporting people who live with chronic pain This might be the job for you.Pain BC is a collaborative provincial non-profit organization working to improve the lives of the 1 in 5 British Columbians living with chronic pain. Our priorities include prevention and early intervention, education and empowerment, health care practice improvement and systems change, as well as stigma reduction and research.Partnerships are the cornerstone of our organization; we catalyze strategic alliances with other non-profits, government, health authorities, patient groups, research institutions and the business sector to advance our mission.1. KEY RESULT AREAS· Executive Director Support – Handle scheduling of multi-stakeholder sessions; assist with communications with the Pain BC board; handle logistics to support attendance or hosting of meetings and events; and provide efficient support for ad-hoc administrative requests.· Database maintenance– Data capture, formatting, user support, and managing updates for diverse databases (clients, donors, etc.). Supporting effective relationship management and record-keeping across all Pain BC processes. Identifying, proposing, and implementing process improvements.· Evaluation administration– Support the organization- wide program evaluation tracking system. Export evaluation survey results from multiple platforms hosting Pain BC programs, format, and import results into a centralized analysis program.· Learner / User Support– Respond to queries and provide technical support for learners in Pain BC education programs and/or education program Learner Support and account administration; tracking event registration, attendance, and program completion for health care provider education and support services volunteer training programs; maintain program supply levels and brochure stock; dispatch courier, triage inquiries, receive and reply to external correspondence.· Process delivery and development – Support program staff with the delivery and the implementation of programsystems andprocesses.2. KEY RELATIONSHIPS· Reports to Operations Director· Takes direction from the Executive Director· Takes direction from the Finance Manager and Operations Lead· Works as part of the Operations Team to support the organization as a whole3. WORK ENVIRONMENTWork is completed from the Administration Coordinator’s own office using their own equipment to fulfil duties and at the Pain BC office (when appropriate). May be required to attend occasional in-person meetings in the Lower Mainland of British Columbia.4. POSITION REQUIREMENTSExperience· Two years of experience in an administrative role is desired, preferably with a non-profit organization and/or in the health care sector· Previous experience with multiple systems and online tools· Previous experience with customer service or stakeholder engagementEducation· College Diploma or bachelor’s degree not required but considered an assetKey Skills, knowledge, abilities· Proficiency in Microsoft Office suite and the use of a CRM· Enjoys learning to use new tools and processes; appreciates efficiency and delighting the client· Organized and detail-oriented· Enjoys working in a structured way, following existing processes and developing / documenting new ones as needed· Ability to communicate with individuals in many different situations in a clear, concise, empathetic, and contextually appropriate way· Comfortable with collective decision making and with providing perspective and feedback to colleagues· Takes initiative in identifying issues and trouble-shooting them. Understands what the team is trying to accomplish and works independently and collaboratively to help achieve it· Coordinatesmeeting and event planning and engages with key stakeholders on behalf of the organization5. This is a twelve-month contract position with possibility of conversion into a permanent role should the organization find sustaining funding..The compensation range for this position is between $45,000 and $60,000. Our targeted rate for this position is $48,000 in order to allow for growth within the role; experience and qualifications will be considered in negotiating this rate.This role can be done remotely.
