Historically, many employees who have started at the Law Society as term employees have successfully posted into permanent positions by the end of their term. The Assistant, Credentials is responsible for providing administrative support to the Senior Director, Credentials, Professional Development and Practice Support, the Director, Credentials and the Credentials Officers.The duties of this position include:Organizing and maintaining credentials paper and electronic files from open to closeLiaising with other departments to gather information about a member and the progress of outstanding mattersConducting online searches and investigationsPhotocopying, scanning, and word processing of documentsDrafting, reviewing, formatting and proof-reading correspondence and memorandumsOral communication in a courteous, diplomatic, professional and sometimes firm manner with applicants, students and lawyersMaintaining Credentials records in the Law Society Information System (“LSIS”), diarizing file tasks awaiting responses or completion and generating letters, follow-up and/or status inquiries on behalf of the department using appropriate independent judgement, in conjunction with department instructions and policyAssisting with the assembly and distribution of electronic meeting agendas for the Credentials Committee, and assisting with drafting the minutes of the Credentials Committee meetingsOrganizing and maintaining credentials hearing files. Communicating regularly with outside counsel regarding the conduct of work for the Law Society, including obtaining timelines and information relating to expected legal costs.Assisting in administering the Unclaimed Trust FundPreparing accounting and cost-tracking documentsProviding support to the department as required, including coordinating meetings, telephone conferences, committee functions and managing BF calendarsProviding administrative support to the Credential Department’s new and ongoing projectsPerforming such other duties as the Credentials Department may require.QualificationsGraduate of legal assistant or executive assistant program or equivalent skills acquired through work experience. 3 – 5 years of experience in a legal or office setting performing administrative functions.Excellent inter-personal and communication skills, a team player with above average spelling, grammar, and punctuation.Excellent word processing skills (advanced Microsoft Office Word training).Proficient in creating and editing electronic documents (advanced Adobe Acrobat training).Familiarity with Microsoft Outlook and Excel and PowerPoint preferred.Ability to work co-operatively in a sometimes stressful environment with competing demands and tight deadlines, and to effectively prioritize work.A high level of accuracy and attention to detail is required.To apply, please email your cover letter and resume to personnel@lsbc.org with the subject “Assistant, Credentials.” The closing date for this competition is July 16, 2021.
