Job Description

Chief of StaffReporting To: Founder & CEOOverview:The Chief of Staff plans and directs all administrative, financial, and operational activities for VetCare’s CEO and will be required to work in a confidential environment where communications frequently concern complex, sensitive and urgent matters requiring the attention of the CEO. The Chief of Staff utilizes a strong business acumen, exceptional written and verbal communication skills, highly developed organizational skills and emotional intelligence to promote excellence in alignment with VetCares people-first culture and values. Responsibilities (including but not limited to)

  • Complete a broad variety of administrative tasks for the CEO including: managing an extremely active and fluid calendar of appointments; prioritizing emails and phone calls; completing expense reports; composing and preparing correspondence; maintaining hard copy and electronic files, arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for meetings.
  • Manages any administrative staff that join the CEO’s office.
  • Work closely with and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated.
  • Manage information flow in a timely and accurate manner; plan and orchestrate work to ensure the CEO’s priorities are met.
  • Organize and prioritize critical issues and required information for the CEO to facilitate efficient decision making.
  • Provide a bridge to facilitate communication between the CEO’s office and internal departments, VetCare clinics, senior leadership, and external stakeholders.
  • Build trusting relationships to maintain credibility and support with senior management.
  • Conduct tasks on behalf of the CEO including: drafting emails and personal correspondence and other tasks that facilitate the CEOs ability to effectively lead the company.
  • Manage special projects (like researching opportunities, gaps and risks) for the CEO as requested and act as an advisor when needed.
  • Planning all aspects of management and other meetings, working with others to execute the small details.
Position Requirements
  • Bachelors degree in Business Management or related field; MBA preferred but not expected - this person is likely to be a recent Business Graduate.
  • Some experience supporting C-level executives, preferably in an entrepreneurial or start-up organization; experience in consulting and operations is strongly preferred.
  • Demonstrated and strong financial acumen coupled with a data-driven approach to decision-making; a proven problem solver who can make clear-headed decisions while under pressure.
  • Strong project management and organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail, and to work collaboratively across departments.
  • Exceptional interpersonal skills and the ability to build relationships with stakeholders, including team members, and external partners.
  • Expert level oral and written communication skills and comfortable presenting to a large group.
  • Proven creative thinker with strong business acuity.
  • Proactive approach to problem-solving with strong decision-making capability coupled with the ability to analyze and compile large sets of data and present effective reports.
  • Able to successfully organize, lead and direct teams of people.
  • Highly resourceful team-player, with the ability to also be extremely effective independently.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
  • Demonstrated ability to meet deadlines in a fast paced environment.
  • Forward looking thinker, who actively seeks opportunities and proposes solutions while demonstrating a high level of emotional maturity while showing flexibility and foresight.
