Named among Canadas Top 100 Employers, BCs Top Employers, and Canadas Greenest Employers, the City of Vancouver seeks colleagues who can help shape and embody our core commitments to sustainability, decolonization, equity and outstanding quality of life for all residents.Consider joining our committed team of staff and being part of an innovative, inclusive and rewarding workplace.Main Purpose & FunctionThe Permit Coordinators main duties include coordinating permit application requests, creating utility packages for Commercial and Residential sewer/water service installations, CCTV investigations, Sewer Seperations Permits and Sewer Construction Utilities as per Branches, WorkSafe, Provincial, and private utility regulations and guidelines, which includes coordinating BC One Call requests andresponses.The regular work schedule for this position is 7:00 AM to 3:30 PM, Monday to Friday. This position will be based out of Manitoba Works Yard. The successful candidate may be required to adjust shifts andchange locations as operationally required.Specific Duties & Responsibilities

  • Creates utility packages for crew excavation work as per Branch, WorkSafe, Provincial, private utility regulations and guidelines, which includes coordinating BC One Call requests and responses.
  • Creates and updates service requests, work orders and assets for maintenance (Operating) and construction (Capital) work programs related to Water & Sewer Operations in an accurate and timely manner.
  • Deals efficiently and tactfully with internal/external customers and presents information of permit/connection processes and procedures in a clear and concise manner both orally and in writing.
  • Researches customer service, business and operations situations to provide accurate and timely information to work crews, Superintendents, other City staff and the public.
  • Assists with identifying, documenting and implementing work process improvements, standardized forms and manuals.
  • Obtain and populate data for the production of daily, weekly, and monthly analysis reports and metrics.
  • Prepares and maintains a large volume of customer service and asset management records and files, both manual and computerized, related to the work.
  • Establishes and maintains effective working relationships with a variety of internal and external contacts and provides information and assistance as required.
  • Provides backfill and backlog support to other clerical positions as required.
  • Other duties/responsibilities as assigned.
QualificationsEducation and Experience:
  • Grade 12 completion, supplemented by courses or related experience in Microsoft Office computer programs.
  • Courses in technical or business writing are an asset.
  • Experience and skill in using software such as Hansen, POSSE, Trackr, VanMap, VanDocs and MS Office applications is preferred.
  • Experience related to public works or construction, and more complex administrative tasks in the Engineering Operations field, preferably in Waterworks and Sewers; and considerable related experience as an Office Support Clerk III, or an equivalent combination of training and experience.
Knowledge, Skills and Abilities:
  • Knowledge and experience applicable to permit and connection administration and crew workflow, including utility infrastructure work programs for maintenance and construction.
  • Considerable knowledge of modern clerical/administrative practices and procedures.
  • Considerable experience and skills with computerized record-keeping systems, including databases.
  • Considerable knowledge of Hansen, POSSE, Trackr, VanMap, VanDocs, MS Office and other asset management software.
  • Above-average attention to detail and accurate data entry and communication skills.
  • Strong interpersonal and written/oral communication skills with the ability to effectively liaise with all levels of City staff, including crews, operations staff, engineering design staff and Superintendents.
  • Sound knowledge of departmental and other policies, regulations, rules, procedures and practices.
  • Ability to problem solve, exercise sound judgement, and make decisions using common sense and information available.
  • Ability to deal tactfully and effectively with the public and other stakeholders by providing information and assistance which may involve making decisions requiring explanation of applicable rules and procedures.
  • Ability to work as an effective team member with other staff.
  • Ability to independently perform business functions of moderate complexity.
  • Proven ability to receive detailed direction from a Supervisor and carry out tasks independently.
  • Ability to prioritize and organize work, handle multiple assignments and meet deadlines.
  • Ability to work in a high volume environment with frequent interruptions and changing processes and priorities.
  • Good attendance is of operational importance.
