The AMS also runs nine food and beverage outlets, a catering and conference operation, and the AMS Student Nest, providing on-campus employment opportunities and generating revenue that goes directly back into supporting the students at UBC.Position title: Conference Coordinator - Student Union Development Summit (SUDS)Reports to: Vice-President External AffairsEmployee status: Hourly Exempt, AppointedLength of term: July 21, 2021 – November 5, 2021Hours per week: 25 hours per week, as required, until October 31, 10 hours per week in NovemberCompensation: Tier 1Position PurposeThe Conference Coordinator for the Student Union Development Summit (SUDS) will report to the Vice President External Affairs in the planning of the conference. The Coordinator will plan all logistics for the conference and coordinate all people volunteering on the project and delegate tasks as they sees fit. They will oversee the execution of the conference and act as a point person for delegates as questions arise before, during, and after the conference.Duties and ResponsibilitiesWork independently, with the VP External staff, and conference volunteers to complete portfolio-specific tasks in the planning of the conferenceCollaborate with relevant Executives to ensure all components of the conference (from workshops to social events) align with the AMS mission statement and bring value to visiting student union leadershipBuild strategic relationships with various campus, community, government, and business partners who support the conferenceOrganize a three-day conference scheduleWork with the VP External to research and book conference speakers/talentRespond to conference attendee inquiries and needs in a professional way and ensure all attendees are provided with the information necessary to inform them of expected behaviour during the conferenceMust be cognizant of accessibility and safety needs and proactively plan ahead for those who need itBuild on current safety management strategies to ensure the comfort and safety of attendeesFoster a strong team relationship which emphasizes teamwork and communicationOnboard, support, and oversee volunteers to assist with day-of execution of tasksWork with Communications to develop a creative marketing campaign using digital media, social media, and person-to-person interaction.Utilize social media, phone, and email to respond to inquiries about the conferenceOversee all events during the days of the SUDS conferenceDevelop a system to intake feedback from attendees and create recommendations for implementation in future yearsOther duties as requiredQualifications and ExperienceMust be a currently registered student at UBC Vancouver or one of its affiliated collegesMust have online/in-person event planning experienceStrong public relations, communication, teamwork, and organization skillsEducation and/or experience in working on EDI is an assetAbility to meet deadlines and work well under pressureAbility to develop a budget and stay on targetMust be able to work flexibly, adapting to the different needs and limitations of each projectMust proactively initiate cross-portfolio communicationDemonstrated examples of leadership skills, especially among peer groupDemonstrated initiative; ability to recognize problems quickly and apply sound solutionsResults-oriented and reliablePast experience or involvement in campus-related leadership initiatives an assetStrong strategic and critical thinking skillsTo Apply:Please submit a resume and cover letter.Application deadline: July 12, 2021The Alma Mater Society of UBC is an equal opportunity employer and all qualified applicants will receive consideration for employment without regard to race, national or ethnic origin, colour, religion, age, sex, sexual orientation, gender identity or expression, marital status, family status or any other characteristic protected by law.
