Job Description

VANCOUVER ART GALLERY ASSOCIATIONREGULAR FULL-TIME POSITION AVAILABLEDatabase AssistantDUTIES:Reporting to the Development Officer, Database and Administration, the Database Assistant is responsible for updating and maintaining the Gallery’s Raisers Edge donor database management system. The position will support fundraising, campaign and stewardship activities and will be responsible for donor/gift recognition, information processing, mailings campaign/event reports and tracking of solicitations.Responsibilities include:

  • Recording all gifts, pledges and event or appeal-related donations in Raisers Edge,
  • Generating donor tax receipts and acknowledgement correspondence,
  • Producing donor profile and financial reports as required,
  • Maintaining accurate and up-to-date documentation and donor files,
  • Supporting fundraising initiatives, appeals, proposals and events,
  • Recording and tracking proposals and solicitations,
  • Generating mailings and invoices relating to donor campaigns, events and initiatives,
  • Collecting and recording data from a variety of sources, such as reports, cheques, bills, people and correspondence,
  • Checking the database for consistency, changes and errors and to make corrections, as needed,
  • Providing additional support and training as needed to other staff members utilizing the Raisers Edge software.
QUALIFICATIONS:High school graduation supplemented by post-secondary courses required. At least two years administrative experience in a non-profit fundraising environment with responsibilities for maintaining a fundraising database is required, along with knowledge of administrative procedures associated with membership practices. Proficiency in Raiser’s Edge database (including Membership and Event components), advanced knowledge of MS Word and Excel are required. Experience using CRM and Adobe InDesign is preferred. Working knowledge of customer relations and sales techniques. Attention to detail and a high level of accuracy are required, in addition to the ability to prioritize projects and meet deadlines. A demonstrated ability to exercise sound judgment and discretion in the handling of confidential matters.
