We offer several designated marshalling points within BC including Nanaimo, Vancouver, Kelowna, Kamloops, Williams Lake, Prince George, Smithers, and Calgary, AB.The Document Control Lead is responsible for the implementation, review and maintenance of the document control plan systems and procedures for the Red Chris Block Cave Project, ensuring alignment with Newcrest standards and industry leading methods to assist in delivering the Project on time and within budget. Acts as the primary contact within the project for all matters relating to document control.We are seeking 1 individual for a remote opportunity working Monday through Friday with occasional travel to the Vancouver office or Red Chris site as necessary. Vancouver based applicants preferred.Accountabilities:TechnicalThe Lead Document Controller is responsible for the maintenance of the Document Control Plan and its annual review and update and is the primary contact within the project for all matters relating to Document Control.Demonstrates technical and conceptual excellence in anticipating problems and supports the team and plans, to deliver agreed departmental and business goals to ensure the value of the business is maintained or improved:Specific responsibilities of the Lead Document Controller include:

  • ensuring that processes for the document management system are documented
  • determining and delivering training requirements of project personnel to ensure adequate standard of quality, systems, procedures, and processes are maintained
  • review and alignment of engineers, contractors, vendors and consultants during start-up and kick-off meetings
  • verifying implementation of corrective and preventive actions, review their effectiveness and initiate follow up action as required
  • reporting on:
    • the effectiveness of the document management system and the compliance of products and services delivered
    • any identified need for improvement or enhancement within the document management system
    • outstanding and overdue workflows, technical queries, request for information and other document related issues
  • Communicating with the project team as required to coordinate reviews of documentation
  • Actioning and closing out document management non-conformances
  • Developing, maintaining, and conducting site/project document management system audits
  • Verifying adequacy and timeliness of records prepared by project personnel, contractors, and the suppliers
  • Allocation of document control personnel as per project requirements ensuring adequate coverage for each area.
  • Ensures that all processes for the document management system are documented
  • Determines and delivers training requirements of project personnel to ensure adequate standard of quality, systems, procedures, and processes are maintained
  • Develops, maintains, and conducts site/project document management system audits
  • Maintains and updates the project document control system, plans, procedures, standards, and training material
  • Ensures alignment with the group document control standards for each phase of the project
  • Leads the roll-out of the group document naming conventions and processes to capture documents, ensuring integrity of the process and storage of documents
  • Develops and maintains document distribution and document approval matrices
  • Oversees the receipt, logging, distribution, control, and access of all project documents
  • Conducts periodic control audits and reviews protocols to ensure compliance to procedures by project team personnel, consultants, and contractors
  • Research issues regarding departmental policies and procedures
  • Undertakes Document Management functions

  • Provides training to internal and external users on document control systems and processes
  • Communicates with the project team as required to coordinate reviews of documentation
  • Allocates document control personnel as per project requirements ensuring adequate coverage for each area
Budget, Cost & GovernanceContributes to or establishes effective budgeting, forecasting, cost management and analysis processes ensuring compliance with company financial and governance policies, procedures and reporting standards:
  • Establishes document reporting metrics (performance indicators) and associated reporting
  • Prepares reports including researching, compiling, and summarizing document storage data in accordance to established procedures
  • Verifies adequacy and timeliness of records prepared by project personnel, contractors and the suppliers
  • Performs quality assurance (QA) checks on all outgoing docs based on Newcrest Quality Procedures
  • Prepares reports on: the effectiveness of the document management system and the compliance of products and services delivered, any identified need for improvement or enhancement within the document management system and any outstanding and overdue workflows, technical queries, request for information and other document related issues
  • Tracks, logs and maintains reports for Request for Information (RFIs)
  • Maintains and posts summaries of key performance indicators and reporting
SystemsMaintains and/or improves systems; control, data, performance, financial, production, safety, etc
  • Manages SharePoint and various other software while working autonomously with multiple priorities and deadlines
Qualifications & Experience:
  • Post-graduate degree in Business or Engineering or equivalent
  • Minimum of five (5) years’ experience in project document control
  • Advanced proficiency with applicable software applications including SharePoint, Aconex & Microsoft Office
  • Knowledge of all levels of project documentation and engineering terminology
  • Experience working with various electronic drawing file formats
  • Strong organizational skills and attention to detail
  • Ability to prioritize and multi-task with the skill of versatility to adapt to changing priorities
