We are proud to be certified as a Great Place to Work™️ and recognized in the Growth 500 ranking of Canada’s Fastest-Growing Companies, Deloitte’s Technology Fast 50, and Globe and Mail’s Top Growth Companies in Canada.Role SummaryWe are looking for an Executive & Personal Assistant to be the Co-Founders’ (CEO and COO) to be their respective right hands, who will take ownership of day-to-day personal and administrative needs to support their daily priorities. This role is responsible for managing the CEO’s and COOs logistical needs, conducting research and compiling notes, managing calendars, booking dinners and events, arranging travel, expense filing, running errands, and other duties that enable the CEO and COO work more efficiently and effectively.Who You AreYou are a get-it-done person who proactively anticipates people’s needs. You complete work quickly and accurately. You react with an appropriate sense urgency to a variety of situations and requests. You enjoy taking effective action on a wide variety of tasks with limited oversight. You have superior organizational skills, great attention to detail and the ability to solve problems creatively. You have experience in managing tight and conflicting deadlines, navigating multiple priorities and completing projects on time.Responsibilities

  • Schedule meetings on behalf of the CEO and COO based on their priorities; protect their time, and ensure accurate scheduling and appropriate time allocation
  • Provide high level and confidential administrative support to ensure efficient and accurate operations of the CEO’s and COO’s life and business
  • Arrange corporate events, such as fund-raising, staff appreciation and personal events
  • Attend to household needs by coordinating and meeting with service providers
  • Collaborate with family members to schedule personal appointments
  • Plan and book travel arrangements
  • Conduct online research and compile research notes
  • Prepare internal and external corporate communication on behalf of the CEO and COO
  • Uphold a strict level of confidentiality
Qualifications
  • Bachelor level degree from an accredited college or university with a focus in business or related discipline
  • Minimum 3 years’ experience as an Executive Assistant to a CEO
  • Experience with QuickBooks, Google apps, travel booking, (Slack, Notion an Zoom an asset)
  • Strong communication skills, both written and verbal
  • BC drivers’ license
  • A sense of ownership
