Location: 168 East Pender Street, Vancouver BCScope of Position:The Foundation is looking for an Executive Assistant who is known to have outstanding organizational skills,exceptional attention to detail, strong judgement, and is an accomplished multitasker comfortable in a fast-pacedenvironment. We can promise you no two days will be the same. The work is challenging but rewarding.This position provides the administrative support required to meet the Foundation’s overall goals and objectivesand directly supports the Chair. This is a full-time position in office position. Some flexibility in scheduling tosupport evening and weekend work may be required and will be discussed in advance.Why Apply for this position:Join a dynamic and passionate team focused on community building in Chinatown and the city ofVancouverDiverse work environment in the heart of historic ChinatownApply your expertise to purpose driven work that will make a measurable difference on the impact of theFoundation’s initiatives and the communityPrimary Responsibilities:Supports the day to day needs of the Chair including coordinating meeting and event logistics, briefingnotes and materials; preparing follow-up deliverables; and maintaining accurate and current data in therelationship management databaseManages a variety of projects and engages appropriate stakeholders and advisors on a timely basisPresents project information and updates and leads project meetings as requiredComposes and/or edits a variety of documents including confidential correspondence, donor relations,agreements and proposalsAttends meetings as requested by Chair, takes meeting minutes, and follows up on action items,commitments, and deliverablesManages the flow of documents, including obtaining approvals and distributing the information toappropriate stakeholdersSets up and maintains a filing system, filing and retrieving the Foundation’s documents, records, andreportsManages internal and external engagements, handling requests and commitments through sorting,filtering and prioritizing requests, while ensuring deadlines are met. Proactively and independentlyidentifies, resolves, and manages calendar conflictsTracks expenses and creates expense reportsCompletes special projects as directedOther duties as may be requiredThe ideal candidate will have the following qualifications:Professional and pleasant when communicating and interacting with all types of personalitiesPost-secondary degree preferred3 to 5 years experience in a similar roleProfessional and pleasant when communicating and interacting with all types of personalities and theability and experience to effectively support boards and senior level managementProven ability to maintain composure when handling complex issues with sudden changes and competingpriorities and short notice changesStrong organization and administrative skills, capable of working independently with minimal directionAbility to assess sensitive and/or confidential matters and manage with discretionExcellent judgment and problem-solving skillsMust be proactive and anticipate needs, and capable of mitigating issuesProficient with Office products and Google SuiteExceptional flexibility and adaptability to an ever-changing work environmentAbility to remain calm under pressureExcellent English language skills (written and oral).Physical ability to complete the requirements of the roleBackground:The Vancouver Chinatown Foundation is a registered charity founded in 2011 to honour a culture and communityestablished in Vancouver over 100 years ago and is dedicated to building a more resilient and inclusive communityby promoting the wellbeing of those in need while preserving Chinatown’s irreplaceable cultural heritage.
