Job Description

Endeavor Trust Corporation is a fast-growing provincially regulated financial institution located in downtown Vancouver. We play a key role in the Canadian securities market through participation in the company #39;s initial public offerings, financings, mergers and acquisitions, and other corporate actions. We are looking for a Executive Assistant Corporate Secretary / Paralegal to join our team. The position is an On-Site full-time position. This is NOT a remote working opportunity.The successful candidate will possess strong experience with managing corporate minute books taking and preparing meeting minutes, scheduling board and committee meetings, general filing, scheduling, working in a fast-paced environment, and a willing to take on other tasks to assist in team projects.Requirements:

  • Must be able to maintain a positive attitude and positive workplace environment
  • Experience working as an Executive Assistant.
  • Experience in a legal environment is an asset.
  • Experience managing corporate minute books
  • Experience taking and preparing meeting minutes
  • In-depth understanding of the entire MS Office suite.
  • Ability to organize and prioritize daily workload by priorities.
  • Must be able to meet deadlines in a fast-paced quickly changing environment.
  • A proactive approach to problem-solving with strong decision-making skills.
  • Professional level verbal and written communications skills.
Responsibilities:
  • Reporting directly to the CEO.
  • Scheduling board and committee meetings
  • Working with the Board of Directors and Committee members.
  • Preparing reports, memos, letters, and other documents as they arise.
  • Filing and retrieving corporate records, documents, and reports.
  • Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.
  • Prepare for meetings.
  • Accurately recording minutes from meetings.
  • Greeting visitors and deciding if they should be able to meet with executives.
  • Using various software, including word processing, spreadsheets, databases, and presentation software.
  • Reading and analyzing incoming memos, and submissions, and distributing them as needed.
  • Making travel arrangements for executives.
  • Opening, sorting, and distributing incoming faxes, emails, and other correspondence.
  • Provide general administrative support.
  • Assisting in all areas of the company operations
