Job Description

The successful candidate will enjoy autonomy and the challenge of using a diverse range of administrative skills.Key responsibilities include:

  • Supporting the Vice President, Airport Capacity and System Design; this unique position will give you a line of sight to the operation of Vancouver International Airport
  • Acting independently with a high level of professionalism, confidentiality, judgment, and discretion with a keenness to learn the business and understand our operations
  • Ability to identify and raise key priorities to VP’s attention in a timely manner
  • Maintaining calendars, including scheduling and/or rescheduling appointments with a focus on pro-active and strategic time management for the VP
  • Liaising with the Executive Team, direct reports, and other team members to provide integrated support; identify opportunities for improvements and adjust priorities as required while keeping the executive apprised of deadlines and action items
  • Supporting the VP with external leadership engagement such as Board of Director positions and speaking opportunities and media
  • Managing regular mail and email for multiple accounts
  • Creating newsletter content using platforms such as Campaign Monitor and Microsoft Sway
  • Event planning
  • Preparing correspondence, reports, presentations, and spreadsheets
  • Making travel arrangements
  • Maintaining files, providing relevant material prior to all meetings, and ensuring documents for signature are processed in a timely manner
  • Administering various financial functions (e.g., monthly budget forecasts, invoices, expense claims, and purchase orders)
  • Other duties as assigned by the Vice President
Key qualifications include:
  • Exceptional interpersonal and communication skills with solid editing and proof-reading capabilities
  • Demonstrated ability to prioritize in a changing environment and capacity to work well under pressure
  • Excellent organizational skills with an attention to detail
  • Proven ability to exercise confidentiality, tact, and discretion across various stakeholder groups
  • Advanced Office 365 skills required to prepare correspondence, reports, newsletters, spreadsheets, and presentations, and manage a large volume of email
  • Financial knowledge with the ability to prepare budgets and forecasts
  • Demonstrated analytical mindset and math capabilities
  • Team player that enjoys collaboration and has a willingness to assist other Executive Assistants during peak periods, as well as providing coverage during absences if necessary
  • Minimum of 3 years demonstrated administrative support experience at the executive level. We are looking for a quick learner who is interested in the dynamic operation of YVR airport.
The successful candidate will interact with the executive office and the executive’s departmental teams. They are always discreet, courteous, and comfortable dealing with Board Directors, Senior Executives, and a wide range of internal and external business partners.This position is well suited to an individual that is passionate about the dynamic operation of YVR airport, has a curious/growth mindset, and thrives in an agile environment.This position is open to both Vancouver Airport Authority employees and external candidates.
