As a member of the lively team, you will play a key role in ensuring all events and operations run smoothly while setting the stage for five-star client service. The hours of work will be 9:30am - 5:30pm (however requires flexibility to adjust shifts according to workload of department).It is important to note that this role has a requirement to work onsite in the Vancouver office at all times. This role will provide support to firm members both onsite and remotely but the successful candidate will always work from the Vancouver office. Please be aware that McMillan has extensive protocols in place to protect all firm members.What You’ll DoReporting to the Supervisor, Hospitality & Concierge Services, you will have a dynamic role and support a well-established Reception operation as well as work on external and internal events in the office for both external and internal clients. This includes assisting with event coordination and logistics, including coordination with external caterers and agency staff, event set up, invoice management and maintenance of event statistics. You will also complete food safety and responsible alcohol service courses (provided by the firm) as service of alcohol at firm events may be required.As an exceptional client service ambassador, you will be involved in a wide variety of tasks, including: greeting and announcing all visitors, answering calls and transferring calls as appropriate, maintaining boardroom settings with daily rounds, providing concierge service support for clients and lawyers and supporting all meeting and boardroom event activities and initiatives.On a national level, you will be responsible for coordinating and managing client gifts, travel bookings, accommodations and the company store including maintaining a database of restaurants, venues and suppliers. You will also assist with other clerical or office support as required.You will also provide back-up support to the Hospitality Assistants and assist with functions and other departments as needed. Additionally, you will support with the administration of the Firm’s COVID Return to Office protocol and processes. Finally you will become an expert in the internal meeting room booking system being aware of all events on a daily basis and assisting with booking boardrooms and last-minute requests.What You BringYour administrative history includes 1-3 years in the professional services, hospitality or retail industries. You have strong client service skills and thrive in an environment that is fast-paced and requires multitasking, by demonstrating a calm and professional demeanor. You are a collaborative and reliable team player who is enthusiastic who can also successfully work independently. You are also detail-oriented and your communications skills, both written and verbal are excellent. You embrace evolving technology and have strong skills in Microsoft Word, Excel and PowerPoint. You are also proficient in using Cisco Phones and Meeting Room Booking System software.
