This position has the option of a hybrid work arrangement, after training and onboarding is completed.Job SummaryThe Faculty of Pharmaceutical Sciences is a strong and diverse Faculty, numbering approximately 75 full-time and cross-appointed academic faculty members, over 600 clinical faculty, nearly 1,100 undergraduate students, and 60 graduate students. The Faculty of Pharmaceutical Sciences offers programs across the full continuum of learning, from professional undergraduate studies including the Entry-to-Practice Doctor of Pharmacy (E2P) Degree and the Flexible Doctor of Pharmacy (Flex PharmD) Degree, to specialized graduate-level training (MSc, PhD), through to Continuing Pharmacy Professional Development (CPPD). The Bachelor of Pharmaceutical Sciences (BPSc) also launched in September 2020 and additional graduate program development is currently underway. The Faculty also offers non-degree programs such as the Canadian Pharmacy Practice Program (CP3) and the Vancouver Summer Program, as well as Residency Programs in hospital, community and industry settings.The role of the Financial Analyst is to support the Director of Finance and Faculty unit leaders in the responsible stewardship of University funds. This role provides data analysis, preliminary hypothesis, and insights to support unit leaders in decision making. With direction from the Director of Finance, the role is responsible for budget preparation, reporting, and financial analysis and modelling.This role provides support for all Faculty-administered funds, including over 300 operating accounts, research grants, specific purpose projects, capital funds, and endowments. The Financial Analyst is a key point of contact in the Dean’s Office, serving as a resource to grant holders, managers, and other employees on University financial systems, policies, and procedures.Organizational StatusThe Financial Analyst reports directly to the Faculty’s Director of Finance, and is a key member of the Dean’s Office finance team. This position provides support and guidance Faculty-wide, and works closely with Unit Directors, Principal Investigators, and other staff and faculty in support of each unit’s financial goals and objectives.Work Performed

  • Prepares budgets and projections on an annual and quarterly basis to help units better understand their resources and manage within their financial means.
  • Reviews research, special purpose, endowment and operating accounts for units to ensure that expenditures do not exceed the funding available. Provides consultation to account holders highlighting successes or areas requiring immediate action and establishes guidelines on sound financial practices to assist units in managing their funds. Provides strategic support to units by identifying resolutions on financial issues including liaising with Central Finance to assist in resolving deficit issues.
  • Prepares ad hoc, monthly, quarterly, and annual operating reports for review by the Director of Finance, and identifies preliminary causes for variances and discrepancies.
  • Conducts detailed monthly review of posted financial transactions, ensuring appropriate coding, timing, and approvals have been facilitated by processing staff. Reconciles balance sheet accounts.
  • Produces variance analyses and cost/benefit analyses of revenues and expenditures or other key financial indicators.
  • Liaises with central administrative units, including Financial Operations, Financial Planning & Analysis (formerly Budget Office), Office of Research Services, Research Finance, and others on behalf of the Faculty. Maintains positive working relationships with university counterparts through working groups and project teams.
  • Stays apprised of upcoming changes to University financial systems and processes, and makes recommendations on how to implement changes pertaining to existing or new financial processes. Provides training and guidance on new systems.
  • Monitors compliance with GAAP, UBC policies and tax regulations; monitors and evaluates internal controls for weaknesses and improvements; evaluates and makes recommendations on improving accounting and reporting systems and develops accounting processes and systems for the unit; participates in the development of new corporate systems through requirement definition, design and testing. Develops and implements financial policies and procedures to improve internal controls or increase efficiencies.
  • Creates and develops financial reports and budget templates using various software packages (e.g. Workday, SERA, Excel etc.) and connects with UBC units such as Treasury, Office of Research Services, etc. to provide advice and data in support of financial decision making and financial management and monitoring.
  • Provides advice, direction and guidance concerning budget, accounting and financial matters, accounting policy interpretation and sound business practices; advising on financial implications of various planning options for units.
  • Reviews faculty expense and payroll workflows, monitoring for timely approvals and appropriate internal control compliance. Makes recommendations on changes to procedures.
  • Develops and maintains expert knowledge in UBC s financial systems (including Workday, Hyperion, SERA) and other relevant UBC databases (including SIS) to be able to extract and analyze data relevant to financial analysis and forecasting and to act as a point of contact for unit administrators/staff to assist in their accessing or understanding of financial reports.
  • Participates in business process analysis, documenting process flows and facilitating workshops to elicit improvement, and training in new systems and structures.
  • Provides advice, direction and guidance concerning budget, accounting and financial matters, accounting policy interpretation and sound business practices; advising on financial implications of various planning options for units.
  • Evaluates, recommends and develops systems to resolve problems and improve management of financial resources (e.g. implementing new accounting and reporting systems and internal audit controls), ensuring compliance with generally accepted accounting principles.
  • Develops business plans for new programs and activities, such as for Continuing Pharmacy Professional Development programs and workshops.
  • Initiates funding transfers on an annual basis, and clears funding balances at year-end.
  • Directs and manages the reconciliation of monthly payroll and benefits for all faculty and staff; tracks salary increases and other anomalies.
  • Manages the monthly accounts receivable process, including review for expiring space contracts and following up on outstanding collections.
  • Assists the Director of Finance in year-end activities, including preparing accruals, deferrals, and audit working papers for review.
  • Provides backup support for other finance team members during absences, including financial processing and answering community inquiries.
  • Undertakes special projects at the request of the Director of Finance.
Consequence of Error/JudgementThe Financial Analyst must have a thorough understanding of the principles of accounting and sound financial management knowledge and skills which are required to conduct information research, to develop structures to collect financial data, and to create processes to compile such data into meaningful reporting formats in order to readily determine the financial results and the associated risks. The position is required to use sound judgment to interpret financial information received from a variety of sources, assess financial risks and problems, and make recommendations to manage the risks and resolve financial issues.Reports developed by this position must be correct, contain the appropriate, complete information, and present the information in a manner that enables them to be easily understood by the senior leadership team. Errors in the information/reports prepared by this position could result in poor financial decisions by senior leadership team. If reports to funders are incorrect, it could damage the Faculty s relationship with the funder and cause significant reputation losses to the Faculty. In addition, if the information presented does not support appropriate financial monitoring, then problems could be overlooked and continue to worsen over time and thus jeopardize the financial health of the Faculty and the University.Supervision ReceivedReports to the Director of Finance. Works with wide latitude. Is expected to work independently under general direction in a collaborative and professional environment.Supervision GivenWhile the Financial Analyst has no direct reports, they are required to work collaboratively with faculty members and administrative staff and provide proactive guidance and support on financial and operational processes and policies.Minimum QualificationsUndergraduate degree in a relevant discipline. Enrolled in the CPA Professional Education Program (PEP) modules. Minimum of three years of related experience, or the equivalent combination of education and experience.Preferred Qualifications
  • Completion of the CPA Accounting program (CA, CGA or CMA). University Degree in Business Finance, Economics or Accounting. Accounting designation preferred. Experience in financial management and administration and one year of supervisory experience, or an equivalent combination of appropriate education, training and experience to degree level, with an emphasis on accounting and business administration.
  • Robust experience with UBC Financial, Human Resources and other ERP systems and procedures including Workday Finance, Workday HCM/HR, Peoplesoft, and Budgeting (Hyperion) is preferred.
  • Experience working with different computer systems, including ERPs.
  • Thorough knowledge of accounting, audit, budgeting principles and practices and financial planning and general business practices required; experience in financial reporting, budget planning and forecasting required. - Ability to interpret data at a high level and to present findings developed from compilation of complex and possibly disparate financial data.
  • Ability to consolidate financial data from various sources into financial statements and reports that are useful for management decision making.
  • Ability to maintain accuracy and integrity of accounting transactions and financial reporting.
  • Ability to apply generally accepted accounting principles in an appropriate manner.
