Founded in 1891, the College registers and regulates pharmacists and pharmacy technicians, and licenses community and hospital pharmacies across BC.The College believes in integrity, transparency, and excellence. We strive to work hard as a team to succeed, while supporting our staff in achieving a healthy work-life balance.About the RoleThe College is seeking to hire an information privacy professional to take on the role of FOI and Privacy Officer. The successful candidate will have good working knowledge of applicable privacy regulation and legislation (FOIPPA) as well as effective written and verbal communications skills. Reporting to the Chief Operating Officer (COO), the successful candidate will have demonstrated knowledge of assessing policies and procedures, interpreting legislation, and formulating recommendations. Based in Vancouver, this position is primarily responsible for managing and responding to Freedom of Information requests, assisting the COO with privacy management plan components, preparing privacy impact assessments and responding to privacy breaches.Qualifications, Skills and Knowledge

  • Post-secondary education with at least 3 years of relevant work experience (or an equivalent combination of education and experience)
  • Certification as an Information Privacy Professional (CIPP/C and/or CIPM) is an asset
  • Education or experience in Information Management is an asset
  • Demonstrated knowledge of applicable privacy regulations and legislation (FOIPPA), including the preparation of Privacy Impact Assessments (PIAs)
  • Demonstrated knowledge of appropriate techniques to facilitate effective change management
  • Digital acumen with an understanding of adopting or using appropriate technologies
  • Proficient in Microsoft Office (Intermediate level of Outlook, Word, Excel, PowerPoint) and Adobe Acrobat
  • Experience of SharePoint and/or other content management systems is an asset
  • Ability to exercise diplomacy, tact and discretion when working with confidential and/or sensitive information
  • Ability to logically analyze, categorize and systemize complex information
  • Ability to problem-solve and analyze situation to recommend solutions
  • Ability to organize work duties, set priorities and deliver results under pressure
  • Strong detail orientation and drive for accuracy
  • Ability to build and maintain effective working relationships with all stakeholders
  • Ability to use a common sense approach and demonstrate sound judgement
  • Commitment to continual learning and a drive for intellectual curiosity to innovate and improve
Essential Duties
  • Manages and responds to Freedom of Information requests from intake to response.
  • Arranges for searches of all College electronic and paper files and email system for records, and reviews and sorts records for relevancy.
  • Reviews and severs all relevant Freedom of Information records line by line, including liaising with legal counsel to ensure records are properly redacted.
  • Liaises with all parties, including the Office of the Privacy Commissioner for any time extensions.
  • Prepares all severed Freedom of Information records to be approved by the Registrar/CEO.
  • Assists the Chief Operating Officer with privacy management plan components, including privacy training and awareness.
  • Prepares privacy impact assessments (PIAs) as part of the College’s project management program.
  • Responds to privacy breaches in accordance to established privacy breach protocols by identifying the scope of the breach and takes necessary steps to contain it.
  • Assists with key aspects of the records management system and processes.
  • Takes on the role and responsibilities of the Records Information Management Coordinator in his/her absence.
  • Coordinates and/or leads other related activities as required.
  • Administers the College’s records retention policy, ensuring paper and electronic records are filed and / or destroyed in accordance with the College’s policy.
  • Provides other assistance to the Records and Information Management Coordinator and/or the Chief Operating Officer as assigned.
