Job Description

We are proud and honoured to offer services on the traditional, ancestral, and unceded territories of the xʷməθkʷəy̓əm (Musqueam), Sḵwx̱wú7mesh (Squamish), Sel̓íl̓witulh (Tsleil-Waututh), Kwikwetlem (kʷikʷəƛ̓ əm) First Nations and the Katzie and Kwantlen First Nations.Summary:The IT Manager oversees all Westcoast Family Centres Society (‘Westcoast’) Information technology systems, processes, and users. They are the go-to person for any IT related topics including technical support for staff, data privacy and security, purchasing hardware, vetting software programs, and providing advice to the leadership team, among other things. The IT Manager provides support and oversight to strategic initiatives such as requests for proposals (RFPs). The IT Manager spends time providing on-site support at all Westcoast worksites.This position reports to the Chief Executive Officer, or their designate. The IT Manager works closely with the leadership team, administrative team, front line staff, external vendors, and advisors to implement IT projects and provide strategic solutions to support the organization. The IT Manager leads a small team, inclusive of 2-3 CO OP students and a systems administrator.Job Responsibilities:

  • Acts as our internal subject matter expert on all things Information Technology.
  • Oversees the Agency’s IT hardware and software systems to ensure they are running smoothly and efficiently and in compliance with standard practice.
  • Oversees all Westcoast technology projects from research, design, budgeting, and resource allocation to implementation, and training.
  • Collaborates with various teams and management leads in developing and implementing policies, processes, workflows, and updates.
  • Ensures system upgrades and other changes, including the impact on specific functions and responsibilities are communicated to staff in a timely manner, and training documentations are updated as needed.
  • Tracks employee-issued devices and monitors usage/wear and tear to budget for replacements.
  • Partners with the Director of Finance to create and manage IT budget for the year; purchases equipment, anticipating long-term cost implications of repairs and replacements.
  • Plans and coordinates IT procedures and systems and devises solutions to streamline processes.
  • Recommends information technology strategies, policies, and procedures by evaluating organization outcomes; identifying problems; evaluating trends; anticipating requirements.
  • Preserves assets by implementing disaster recovery and business continuity plans with back-up procedures, information security, and control structures.
  • Negotiates and monitors the progress and outcomes of operational and IT contracts and agreements to ensure all elements of the contract are being met and that cost efficiencies are being obtained.
  • Participates in day-to-day IT activities including, but not limited to report buildings and training to employees.
  • Manages the security and storage of information and confidential records.
  • Manages technology systems including case management software.
  • Provides expertise, advice and support on ongoing evolution and data-driven quality improvement.
  • Capacity planning for network bandwidth, storage requirements and other applications.
  • Participates in a variety of committees and work with staff to develop workflow, encountering, office efficiencies and data management best practices.
  • Provides recommendations for training opportunities, and corrective action for any security breaches and privacy.
  • Collaborates with community partners or funders to address technology needs.
  • Ensures operations adhere to policies and regulations.
  • Maintains a collaborative relationship with universities through Westcoast CO-OP student placements.
  • Other duties as assigned.
Skills You Bring:
  • Switching and routing experience.
  • Backup deployment and monitoring experience.
  • Knowledge of health and/or social service sector.
  • PMP certification considered an asset.
  • Passionate about children, youth, and family services.
  • Strong organizational and prioritization skills to balance multiple activities concurrently.
  • Demonstrates an ability to work autonomously, with a high degree of composure and sound judgement.
  • Positive attitude, passionate about finding innovative effective technology solutions and supporting staff learning capacity of technology.
  • Strong project management skills: able to coordinate multiple projects/initiatives simultaneously and meet demanding time frames.
Requirements:
  • Post-Secondary Degree or Diploma in Business, Computer Science, Engineering, or related field required.
  • 5+ years of demonstrated experience in IT management.
  • Working knowledge of O365 SharePoint/One Drive, Teams, and Power Apps.
  • Working knowledge of Google Workspace.
  • Comfort with software implementation and change management strategies (ShareVision).
  • Familiar with Windows Server 2016 and up, and Active Directory (AD) administrative tools.
  • Ability to communicate with external technology vendors and negotiate terms to meet business needs.
  • Ability to travel between worksite locations (Maple Ridge, Coquitlam, Vancouver & North Shore).
  • Satisfactory Criminal Record Check and a clear Drivers Abstract.
