The position manages Emerging and Developing Leaders Programs which are Managing at UBC program and learning solutions for Emerging Leaders. Managing at UBC is an 8-month cohort leadership program for newer managers at UBC and supports the development of their leadership skills and competencies. The program runs in partnership with other existing programs to ensure consistency in UBC specific content and context. Responsibilities in this role include working with the Leadership Program team to build, manage and deliver synchronous and asynchronous leadership development programs, learning pathways and maintains administrative oversight of all programming to ensure learners are supported and resourced to participate fully.Organizational StatusThis position reports to the Leadership Programs Learning and Development Specialist and works collaboratively with members of the program planning team and program participants as well as instructional designers, facilitators, coaches, sponsors, student employees, and community partners to ensure that the programs fulfill their goals of advancing UBCs leadership development framework and competencies.Work Performed

  • Participates as a member of the planning teams in the strategic decision-making for the programs. Coordinates and supports the implementation of these decisions and goals for Emerging and Developing Leadership programs.
  • Responsible for the development and coordination of all marketing and communications.
  • Creates and writes digital content for the programs, such as emails, e-newsletters, announcements, and website updates/design. Collaborates with the Marketing & Communications team to develop strategies and identify university-wide communication channels.
  • Manages the application and recruitment and enrollment of program participants. Organizes all applications for the programs, contributes to the review and selection of participants. Conducts data analysis and communicates with applicants on the status of their application and program enrolment.
  • Provides guidance and support to participants throughout their program and learning experiences, from program launch to graduation, ensuring a consistent, engaging and supportive learning experience.
  • Creates budget forecasts for the leadership programs. Works within the program’s budget and creates budget reports. Evaluates carry-forward requests and makes recommendations related to budgetary needs.
  • Manages third party contracts with learning tools and assessment providers, external facilitators, and consultants. Manages the administration and distribution of all learning tools and assessments.
  • Manages the online learning spaces for the leadership programs and provides end-to-end support. Works with the Instructional Designer to create, review, and update online learning content to ensure it is relevant and continues to meet the learning needs of participants. Coordinates and contributes to the creation of videos and implementation of other learning tools. Troubleshoots technological issues with program participants and IT support to ensure a smooth learning experience. Has familiarity and capabilities with Blackboard Collaborate, Canvas, and other learning platforms.
  • Manages logistics for all in-person, blended and online offerings of the leadership programs and holds the focus for the day-to-day program management needs for Emerging and Developing Leadership Programs.
  • Develops and plans accurate program timelines and calendars. Manages program session registrations and cancellations processes. Ensures program and workshop learning materials are prepared and ready for distribution as required.
  • Develops streamlined processes and looks for efficiencies for the overall management of the leadership cohort program and learning solutions.
  • Manages feedback assessments and programs evaluation and reporting of program metrics. Analyses and provides updates and evaluation results and feedback to facilitation team. Develops, revises, and implements measurement, assessment, and evaluation tools to support learning outcomes.
  • Develops collaborative relationships and coordinates the delivery of various program elements that have multiple contributors including facilitators, instructional designers, Coaching Services, Conflict Theater and Indigenous Educational consulting.
  • Organizes and attends all planning team meetings and meetings with advisors, subject matter experts, and facilitators as required. Works closely with the Leadership L&D Specialist, Educational Learning Consultants, Instructional Designers, planning team members, program sponsors and affiliated stakeholders to effectively deliver the requirements of all Emerging and Developing Leadership Programs.
  • Understands L&TD programs and content and maintains effective partnerships with L&TD colleagues in order to ensure program effectiveness and identify opportunities for continuous improvement.
Consequence of Error/JudgementExercises judgment and initiative in the administration and delivery of Leadership Programs. The quality, ethics, integrity, timeliness, relevance and accuracy of the program are critical to Learning and Talent Engagement to meet its mission of delivering high quality learning and development opportunities.Supervision ReceivedWorks directly with and reports to the Leadership Learning and Development Specialist. The Program Manager is expected to initiate cyclical processes, engage with participants in the programs, and work independently, following general policies and procedures and established guidelines (objectives, targets and deadlines). Work is reviewed in terms of deliverables.Supervision GivenProvides functional supervision of the work of students, volunteers, and other colleagues in Learning and Talent Development who contribute to the delivery of the leadership programs and learning events.Minimum Qualifications:Undergraduate degree in a relevant discipline. Minimum of two to three years of related experience, or the equivalent combination of education and experience.Preferred Qualifications:University degree, preferably in business, HR, marketing, communications, education, or a related area preferred. A working knowledge of adult education and leadership development programming.In addition:
  • Ability to work well with others, demonstrates effective intercultural communication skills, and deals professionally and diplomatically with faculty, staff, students and the general public.
  • An understanding and/or interest in University culture, learning, and a balance of creative, technical, analytical and social/interpersonal skills.

  • Experience with online virtual platforms such as Zoom, MS Teams.

  • Ability to work effectively with all peoples, with strong attention to detail, and ability to set priorities with competing work tasks.
  • Demonstrated working knowledge of website development, and communications product development. Ability to use content management software (Wordpress preferred) for website updates/editing. Ability to use Blackboard Collaborate, Canvas, and other learning platforms.
  • Demonstrated design experience in print and web or the ability to manage a communication/marketing plan.
