The collection consists of textual records, photographs, posters, maps and other artefacts documenting various aspects of the Klondike Gold Rush, including its impact on the development of the economy, indigenous peoples, resource extraction industries, political history and the development of Canada as a nation. The digitization assistant will digitize items from the archival collection, and process and upload files and metadata to our digital asset management system, DSpace, so they will be available to end users via our Open Collections platform. The Assistant will also support the installation of a new gallery where visitors will have access to this unique collection. Working in collaboration with the Rare Books and Special Collections (RBSC) Library, the UBC Library conservatorial team, the Digitization Centre, and the gallery design/curation team, the assistant will provide maintenance on and quality control over metadata for digitized and physical items in the gallery. In accordance with project timelines, the Assistant will determine and coordinate workflow priorities, and communicate information with various library and gallery groups, responding to complex inquiries and balancing multiple requests.WORKING RELATIONSHIPS:The Lind Digitization Assistant reports jointly to librarian supervisors in the Digitization Centre and Rare Books and Special Collections. The Assistant collaborates with librarians, staff and student workers in both departments to complete assigned tasks. Works under the direct supervision of the Digital Projects Librarian in the Digitization Centre.DUTIES:1. Responsible for leading and performing the digitization of items (books, manuscripts, letters, photos, artefacts, illustrations, etc.) using a variety of equipment and software, such as flatbed, book, large format scanners and digital cameras. Processes digitized items so they are suitable for web display and discoverability using various software programs including graphics editing (Photoshop) and OCR software. Ensures image quality conforms to recognized international standards for both access and digital preservation.2. Creates and edits metadata according to defined processes and standards under the supervision of Digitization Centre, RBSC and Cataloguing librarians. Works with the RBSC and cataloguing librarians and archivists, and RBSC archives assistant to create metadata crosswalk between Digitization Centre’s metadata and RBSC metadata, ensures that crosswalk is captured correctly in Microsoft Excel spreadsheet and performs quality control checks. Uploads files and accompanying metadata to DSpace digital asset management system and performs quality control checks on the uploaded data.3. Following established RBSC physical processing workflows, performs and assigns physical processing of archival material by packing/unpacking and conducting a preliminary sort of gallery material, labelling folders and boxes.4. Following conservation best practices, prepares and coordinates archival materials for gallery exhibition. This includes preparing items for transportation, creating custom boxes and liaising with gallery, conservatorial and library teams.5. Identifies errors and problem solves complex issues related to version control, various metadata schemas, and multiple use-cases.6. Prioritizes and balances multiple ongoing projects in accordance with gallery timelines.7. Participates in storage planning.8. Becomes fully conversant with the scanning software and equipment, and any other software relevant to the projects, and assists with the testing of the final digital collections. Problem-solves technical issues and works with Library IT and the Library Information Technology Unit to troubleshoot and maintain the Digitization Centre’s equipment in good working order.9. Drafts position postings, hires and on-boards new student workers.10. Trains student workers and staff members in the proper methods for digitization, metadata creation and quality control.11. Maintains and troubleshoots Digitization Centre equipment and liaises with vendors as appropriate.12. Liaises with library staff, conservatorial staff and the gallery design/curatorial team to assist in the physical and intellectual control of gallery objects.13. Prepares and keeps up-to-date documentation on all work performed for the project, including detailed project tracking tools so as to maintain the continuity, oversight and high quality standards for the project.14. Performs other related duties.EXERCISING JUDGEMENT /CONSEQUENCE OF ERROR:The Lind Digitization Assistant digitizes items, creates metadata, trains students and staff, performs quality control, creates, maintains and updates documentation, maintains Digitization Centre equipment and follows standards and practices established by the supervisor and others on the project team. Work is performed in accordance with established procedures and accepted practices involving the freedom to select applicable methods in setting priorities and carrying tasks through to completion. Appropriate judgement is required in knowing when to refer an issue to the supervisor. Errors could affect access to digitized items and slow the project timeline.SUPERVISION RECEIVED:Works under the general direction of the Head, Digital Programs and Services and the Head, Rare Books and Special Collections. Works under the direct supervision of the Digital Projects Librarian. Carries out the work independently under general supervision. New or unusual problems are referred to librarians.SUPERVISION GIVEN:Trains students and staff to a high standard and maintains oversight of the on-going work of these employees.PERFORMANCE CRITERIA:Demonstrates outstanding technical skills and accuracy in scanning, image processing, metadata creation and data entry. Retrieves and re-shelves items accurately and with the care appropriate to rare and fragile materials. Manages his/her time appropriate to the various duties assigned and processes materials to meet or exceed project timelines and deadlines. Uses initiative, interpretation, and/or ingenuity to develop, implement, and evaluate innovative procedures, practices, standards, and specifications.MINIMUM QUALIFICATIONS:High school graduation, plus two years of related experience or the equivalent combination of education and experience. Working knowledge and experience with computers and with scanning software and hardware (Photoshop and OCR). Working knowledge and experience with word processing, spreadsheet, and database software. Effective oral and written communication and organizational skills. Ability to maintain accuracy and attention to detail. Ability to prioritize and work under pressure to meet deadlines. Ability to work both independently and within a team environment. Ability to understand and apply policies, procedures and instructions. Ability to exercise sound judgement.PREFERRED QUALIFICATIONS:Experience handling archival materials preferred. Knowledge of relevant Canadian copyright and privacy law. Ability to handle fragile and rare materials in the appropriate manner. Ability to recognize, respect and work effectively with individuals and groups with diverse perspectives and backgrounds. Takes initiative in learning about language and issues relating to equity and diversity. Ability to develop and maintain cooperative and productive working relationships and engage in workplace culture. Ability to recognize and appreciate the contributions of colleagues.
