Your Opportunity with Michels CanadaOur brand new Vancouver office is hiring! Reporting to the Director of Business Development, the Office Administrator is a key member of the Michels Canada Team and the first impression of the company. In this role, the Office Adminstrator performs a wide range of reception, administrative, and office support activities for the support staff and managers to facilitate the efficient operation of the organization.Your Key Responsibilities
  • Maintain and promote a strong safety culture for all employees, vendors, and customers and follow all safety policies, procedures and regulations. Identify and communicate workplace hazards and correct or seek assistance in correcting unsafe actions or conditions
  • Maintain a positive, empathetic and professional attitude toward internal and external customers, clients, and co-workers at all times
  • Main reception, manage all incoming calls, screen and direct calls as necessary
  • Receive, direct & relay telephone messages and fax messages
  • Greet & direct the general public to the appropriate staff member
  • Respond to public inquiries
  • Open & date stamp all general correspondence and deliveries. Deliver to appropriate staff member; Generate outgoing mail & courier deliveries
  • Responsible for working with property management including maintenance and replacement of items not covered in lease. Seek out and co-ordinate the Sub-Contractors for repairs/replacement
  • Maintain an adequate inventory of office supplies, toner & cartridges; Monitor the use of supplies & equipment; Generate supply order. Deliver and put away when order arrives
  • Coordinate the repair & maintenance of the office printers and copiers
  • Maintain a supply line of snacks, drinks and coffee supplies in the kitchen/lunch room area
  • Coordinate with suppliers to maintain hygiene supplies, first aid supplies, and schedule office mat and other cleaning services. Ensure compliance with City of Vancouver office waste, recycling requirements and confidential paper recycling
  • Monitor boardroom schedules to ensure no double booking
  • Coordinate and distribute updated cell phone, office extension and job lists
  • Coordinate, order, and organize printed materials
  • Assist with the coordination, planning and ordering of office lunches
  • Other duties as required
Your Capabilities and Credentials
  • Post-Secondary Certificate or Diploma in Office Administration
  • Proficiency in MS Office 365 including OneDrive, Sharepoint, Word, Excel and Outlook
  • 5+ years in front office administration role, preferrably with a construction contractor or technical engineering firm.
  • Excellent written and oral communication skills
  • Knowledge of standard office administrative practices and procedures
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
  • Exceptional multi-tasking skills and the ability to prioritize workload
  • Excellent customer focus and service skills
