Job Description

Office Assistant Latincouver Cultural & Business Society – Vancouver, BC(Part-time/Temporary - 12 weeks)Latincouver is a non-profit organization that for the past 12 years has been connecting over 100,000 Latin Americans with Latin enthusiasts living in Western Canada. As of today, we are the point of reference within the Latin American community in British Columbia.As part of the Work Experience Opportunity Grant established by WorkBC, Latincouver is hiring for a temporary position to support an inclusive labour market. The Program focuses on helping individuals with barriers to labour market participation by offering work experience opportunities.The Office Assistant ensures the efficient operation of the Latincouver office by assisting the departments through different tasks related to Latincouver and office communications, following procedures and policies and monitoring administrative projects. The Office Assistant reports functionally to the Finance Coordinator and Operationally to the HR CoordinatorRequirements by the WorkBC Grant:

  • Individuals qualified to receive assistance under: the Employment and Assistance Act as a Person with Persistent Multiple Barriers to Employment (PPMB); or the Employment and Assistance for Persons with Disabilities Act as a Person with Disabilities (PWD)
  • Legally entitled to work according to the relevant provincial/territorial legislation and regulations
  • Availability - 20 hours per week during 3 months (12-weeks)
*Participants cannot be in receipt of a WorkBC Wage Subsidy while they participate.Duties and Responsibilities:
  • Providing administrative assistance, such as writing and editing emails, drafting memos, and preparing speeches/presentations on the executives behalf
  • Assisting with time sheets for volunteers, making sure that it is updated every week
  • Giving access to new volunteers and or staff and ensuring that is taken off when people leave
  • Managing slack and updating on a periodic basis
  • Using various software, including word processing, spreadsheets, and presentation software to prepare reports and/or special projects
  • Managing the executives day-to-day calendar, including making appointments and prioritizing the most sensitive matters
  • Check Latincouver general emails
  • Taking and delivering messages
  • Ensuring the office runs smoothly i. Inventory, maintenance, etc.
  • Maintain close communication with all departments, ensuring updates, and feedback
  • Scheduling meetings and sending meeting invites to attendees
  • Other activities as assigned
Requirements and skills:
  • English fluency - Spanish and/or Portuguese is an asset
  • BSc/Certificate in Business Administration or relevant field is an asset
  • Excellent writing and communications skills
  • Experience in Microsoft Office (Word, Excel, PowerPoint), and Google Drive
  • Deal effectively with non-routine matters and coordinate various activities
  • Take responsibility, problem solve and make independent decisions
  • Ability to work cooperatively and meet deadlines
  • Cross-cultural competence
