Job Description

Location: 168 East Pender Street, Vancouver BCScope of Position:The Vancouver Chinatown Foundation (VCF) Foundation is looking for an Office Manager who is knownto have outstanding organizational skills, exceptional attention to detail, strong judgement, and is anaccomplished multitasker comfortable in a fast-paced environment.This position provides the administrative support required to meet the Foundation’s overall goals andobjectives.Why Apply for this position:

of the Foundation’s initiativesPrimary Responsibilities:Office Management
  • Supports the operational needs of the VCF office and staff to ensure operations are efficiently
and effectively executed
  • Ensures the VCF facilities are clean, organized, equipment is operational, and supplies are
sufficiently stocked (e.g. Bathroom, kitchen, office consumables)
  • Manages vendor relations and negotiates service deliverables and pricing
  • Manages reception, shipping and receiving, and answering phones
HR/Payroll Duties
  • Manages human resource duties including but not limited to: supporting the hiring process,
processing semimonthly payroll using Pay works, onboarding new hires, offboarding employeesleaving (including IT support) and maintaining employee records (including Record ofEmployment, Vacation Register, and benefits)Accounting Duties
  • Performs various accounting duties including providing assistance with monthly bookkeeping in
accounts receivable and accounts payable, deposits, cheque requests, and bank reconciliationusing QuickBooks or similar software
  • Processes employee and credit card expenses
Administrative Duties
  • Supports the day to day needs of the Foundation including coordinating and planning meetings
and event logistics (onsite and offsite), briefing notes and materials; drafting meeting minutes;preparing follow-up deliverables; and maintaining accurate and current data in the relationshipmanagement database
  • Maintain efficiency within the office by establishing the best policies, standards
  • Liaises between departments and committees to successfully complete tasks and projects as
directed
  • Composes and/or edits a variety of documents including highly confidential correspondence,
memoranda, agreements and proposals
  • Attends meetings as requested, takes meeting minutes, and follows up on action items,
commitments, and deliverables.
  • Assists with database update and correspondence with donors
  • Other duties and special projects as required
The ideal candidate will have the following qualifications:
  • Five or more years of experience in a corporate environment with three years supporting a
senior leader
  • Office administration certificate or equivalent would be an asset
  • Extensive technical skills with Office products and Google Suite and familiarity with QuickBooks
or similar software
  • Proven experience supporting Accounting such as processing payroll, doing bookkeeping and
journal entries
  • Proven ability to maintain composure when handling complex issues with sudden changes and
competing priorities and short notice changes
  • Strong organization and administrative skills, capable of working independently with minimal
direction
  • Exceptional attention to detail
  • Ability to assess sensitive and/or confidential matters and manage with discretion
  • Excellent judgment and problem-solving skills
  • Must be proactive and anticipate needs, and capable of mitigating issues
  • Excellent English language skills (written and oral). Cantonese would be an asset
  • Physical ability to complete the requirements of the role
