This position is a Super-User within the P2P Module of SAP and provides individual virtual training sessions to all Engineering employees who need assistance. The position also monitors the various supply loaner programs (laptops, projectors, web cameras, compass cards, etc) and maintains the equipment and functionality of the meeting rooms and hotel workstations within Crossroads, and provides back-up for supply orders at Marine Gateway.Reporting to the Manager of Team Services, the Procurement & Purchasing Clerk provides support to approximately 400 employees within Crossroads. Key contacts include the Engineering & REFM Directors, Branch Managers and vendors. This incumbent must maintain a good working relationship with Supply Chain Management as well.Specific Duties & ResponsibilitiesThe Procurement & Purchase Clerk must adhere to standards of the City’s Ethical Purchasing Policy as well as manage the supplies and ordering of goods in accordance to the P2P process.Other duties include ordering office supplies online in the SRM module of SAP using a purchase card and maintaining a large organized inventory of supplies and surveyor’s equipment.The position is responsible for the administration and management of the Engineering Design Group and REFM department’s procurement process at Crossroads.The incumbent must have a complete understanding of the departmental procedures and be able to speak to these at any time.This involves planning, organizing, distribution and maintaining a large organized inventory which includes office stationaries, safety and surveyor supplies (one time purchases up to $2000/purchase card limit of $7000) off the City’s core list.The incumbent conducts an annual review of consumption and makes recommendations to management on cost saving measures on all procured items and conducts cost comparison to get the best value for both Engineering and REFM departments for items not on the City’s core list.The incumbent must be able to identify significant trends and track these on the departmental scorecard.Purchase Card Site Coordinator for 85 employees ensuring monthly reconciliation is complete and correct by deadline.The incumbent utilizes organizational software, SAP, to track costs and provides administrative support to all Engineering branches in various ways such as P2P training, shopping on behalf, service entries, good receipts, orders and approves payments for suppliers.In addition, the s/p is also required to perform and coordinate light duty maintenance with the building’s management company (Triovest).Other duties as required such as time entry and/or records management assistanceQualificationsEducation and Experience:Completion of Grade 12 including or supplemented by commercial administration courses plus sound related experience, or an equivalent combination of training and experience, is required.Working knowledge of procurement, purchasing practice and proceduresAbility to operate standard office equipment and a working knowledge of standard computer software such as VanDocs, Microsoft Word and Excel is required.Ability to work within the Material Management system of SAP is required.Knowledge, Skills and Abilities:Considerable knowledge of modern office practices and procedures.Sound knowledge of departmental and other policies, regulations, rules, procedures and practices that relate to the position occupied or which govern worksite activities and employee behaviourEffective written and verbal communication skills.Effective organization and problem solving skills.A proven ability to work well in a team under tight deadlines and changing priorities.A demonstrated ability to build and maintain effective working relationships with co-workers and vendors is essentialBusiness Unit/Department: Engineering ServicesAffiliation: CUPE 15 Non PksEmployment Type: Temporary Full TimePosition Start Date: June, 2021Position End Date: May, 2023Salary Information: Pay Grade GR-015: $25.31 to $29.74 per hourApplication Close: May 21, 2021At the City of Vancouver, we are committed to recruiting a diverse workforce that represents the community we so proudly serve.
