Named among Canadas Top 100 Employers, BCs Top Employers, and Canadas Greenest Employers, the City of Vancouver seeks colleagues who can help shape and embody our core commitments to sustainability, decolonization, equity and outstanding quality of life for all residents.Consider joining our committed team of staff and being part of an innovative, inclusive and rewarding workplace.Main Purpose and FunctionThis position is responsible for providing a wide range of administrative support services to the Renovation Centre of the Development, Buildings and Licensing Division.Key Contacts and Reporting RelationshipsThe position reports to the Manager of the Renovation Centre, who oversees the work of the Project Coordinators reviewing and issuing Development & Building Permits and Licensing approvals. The Office support clerk will support the Manager, supervisor and approximately 19 Project Coordinators in the Centre.Specific Duties/ResponsibilitiesThis position provides administrative support to the Renovation Centre and performs a high volume of fairly complex tasks:

  • Processes and issues Development and Building Permits based on Project Coordinator reviews;
  • Reviews documentation submitted for accuracy and ensures compliance with applicable policies or regulations;
  • Maintains a data base that tracks customer appointments and renovation scope information for Council reporting, and for communicating this information to small business owners and operators (daycare, community, cultural & social service uses);
  • Processes 311 cases and phone referrals;
  • Updates permit status in permitting software;
  • Notifies contractors in writing regarding their outstanding permits and deficiencies;
  • Liaises with inspections clerks for booking onsite inspections;
  • Gathers and relays permit-related information to internal and external customers;
  • Researches approved business licences for existing businesses, including required business licences; for contractors and other design professionals;
  • Assist the applicants, public, and other City Staff by answering enquiries about the status of projects and the Development Permit and Licensing process;
  • Scans, uploads and indexes documents related to associated Building & Trades Permits;
  • Provides back-up and coverage for other Office Support Clerks in Development Services;
  • Other duties/responsibilities as assigned
Minimum Qualification RequirementsEducation and Experience:
  • Completion of Grade 12, including or supplemented by courses in commercial subjects, typing, word processing and sound related experience, or an equivalent combination of education, training and experience.
Knowledge, Skills and Abilities:
  • Good written and verbal communication skills
  • Considerable knowledge of modern office practices and procedures with accurate keyboarding
  • Sound knowledge of departmental and other policies, regulations, rules, procedures and practices that relate to the position occupied or which govern worksite activities and employee behaviour.
  • Sound knowledge of departmental functions, responsibilities and activities.
  • Demonstrated competence in use of MS Office applications including Word, Excel and Outlook as well as working knowledge of departmental systems (Posse, VanMap, VanDocs, EM Pro, and Amanda)
  • Ability to independently perform office support functions of moderate complexity according to established practices.
  • Ability to prepare reports and correspondence related to the work.
  • Good interpersonal skills and a willingness to work collaboratively within a team environment.
  • Ability to deal effectively with the public and other staff by providing information and assistance which may involve making decisions requiring explanation of applicable regulations and process.
  • Ability to evaluate work methods and procedures and make recommendations for appropriate changes.
Where operationally appropriate and subject to change, the City of Vancouver has a Flexible Work Program. This program allows staff to work remotely 1 – 4 days a week from locations that are a daily commutable distance from their work at a City worksite.
