In the normal course, employees will be hired, transferred or promoted between the minimum and midpoint of the salary range for a job.Posting End DateDecember 31, 2022Note: Applications will be accepted until 11:59 PM on the day prior to the Posting End Date above.Job End DateJob Description Summary: Project CoordinatorThe Project Coordinator works on project management activities, such as the budget processes, stakeholder relationships, and schedules required for Animal Care Services (ACS) projects. The incumbent works with the sponsor and Director, Animal Care Services and University Veterinarian to ensure that study design (scope) adheres to ACS policies, procedures and regulations.This role is essential to ensure research projects are effectively executed and to maintain efficiency and financial viability for the department. This includes directing the daily work flow of the Registered Veterinary Technician team.This role is also a resource for Principal Investigators to assist with protocol writing and the technical components of project design during grant writing and budgeting for their animal research.The Project Coordinator supports contract management, cost management, and project management. Works closely with the Registered Veterinary Technicians, Animal Care Technicians, Senior Operations Manager and Clinical Veterinarians. Liaises with researchers, industry partners and their teams.UBC Animal Care Services is the largest animal care program in Western Canada and the second largest in Canada, ACS is responsible for providing research support to the animal-based research community associated with the University of British Columbia and its affiliates through its veterinary services team, the compliance team, the procurement team and its facilities. ACS is committed to providing excellence in research support to all UBC researchers with accountability, communication, cooperation, customer service and integrity. ACS reports to the Associate Vice President Research and Innovation.Work PerformedProject Coordination

  • Prepares project quotes, contracts, and schedules. Develops timelines and assigns resources to ensure research projects are completed.
  • Prepares documentation outlining the clients detailed scope of work, schedules, budgets, and resources required for projects.
  • Drafts contract management documentation such as Master Service Contracts and Amendments
  • Assists with managing expectations and interest of stakeholders to ensure they understand the scope of the project and the intended use of resources.
  • Verifies that necessary permits and approvals from the Animal Care Committee and Health Canada are obtained.
  • Reviews daily/monthly billing sheets for accuracy and creates summaries of industry project billing
  • Builds frameworks that support projects and process efficiency for ACS.
  • Develop new and recommends revisions to existing standard operating procedures, work instructions and associated documents. Make recommendations on workflow improvement.
  • Provides instruction and training in laboratory animal science to the research community at UBC, as well as lower mainland biotechnology industry partners and ACS staff.
  • Communicates and liaises with the project teams and managers at ACS to ensure effective work flows.
Research Support
  • Writes protocols for industry partners or PIs detailing the technical aspects of specialized complex projects by developing a comprehensive study design. This includes model development, outlining budgets, and detailing timelines and logistics of the project.
  • Design, modify and perform technically advanced surgical and technical procedures on a variety of animal species, without supervision, in accordance with the approved research protocol. This can include procedures such as surgery, anesthesia, and placing arterial catheters.
  • Attends meeting to determine the scope and needs of our clients and to gather information from managers and veterinarians to write protocols.
  • Oversees aspects of facility requirements as per quality management.
Work Direction
  • Hiring, training, and supervision of Registered Veterinary Technicians (RVT s), Project Technicians and Research Veterinary Assistant (RVA)
  • Assigns daily projects and tasks to the Project Technicians and RVT s.
  • Trains RVTs and Project Technicians on new processes and procedures.
General
  • Keep abreast of developments in the area of expertise, participating in continuing education programs and maintains necessary certifications.
  • Treat confidentially all information related to research projects, personnel, and locations, and agrees not to disclose any such information to any person except as may be necessary in the proper discharge of work obligations.
  • Participate as an active member of the CCM Safety Committee.
  • Perform other related tasks as required.
Consequence of Error/JudgementThis person must pay attention to details, be aware of pitfalls and be willing to repeat tasks if necessary. Most of the procedures will require following a protocol already in place; however, there is room for innovative thinking to improve upon existing protocols and provide input into the direction of the project. These positions are expected to exercise initiative and judgment in establishing priorities and carrying tasks through to completion; new or unusual problems would be referred to the Director, Animal Care Services and University Veterinarian or CCM Clinical Veterinarians. Incorrect decisions could result in deterioration of animal health, including mortality, and/ or disruption or ruination of a research study. Inappropriate judgment exercised by the position may impact the success of the facility, leading to increased expenses, time loss and damage to departmental reputation. Inappropriate judgment concerning the use of controlled substances could lead to legal action against the university or revoking of provincial licenses currently held by the university veterinarians.Supervision ReceivedWorks under the general direction of the Director, Animal Care Services and University Veterinarian and/or CCM Clinical Veterinarians. Work reviewed against task objectives and conformity to standardsSupervision GivenThe incumbent may distribute work assignments to RVT s, ACT s, Project Technicians and initiate new employees into routines, procedures, and operation of equipment. May instruct co-workers, researchers, and their staff in techniques and procedures; and ensure adherence to established SOPs and policies. May be involved in the hiring, training, and supervision of RVT sMinimum QualificationsUndergraduate degree in a relevant discipline. Minimum of two years of related experience, or an equivalent combination of education and experience.Preferred QualificationsUndergraduate degree in a relevant discipline. Diploma in Veterinary Technology preferred. A Registered Veterinary Technician (RVT) designation is preferred. CALAS Registered Laboratory Animal Technician (RLAT) preferred. Project Manager Certification preferred or eligible for Project Management Professional designation. Minimum of two years’ experience or the equivalent combination of education and experience. Experience in working with small and large animal species in a research capacity, in both CL1 and CL2 environments. Working with industry an asset. Must demonstrate a sound theoretical and working knowledge of the principles and practice of laboratory animal science and working knowledge of veterinary technology, biomedical research, medical terminology, anatomy, physiology, pharmacology, and intensive/critical care.
