Job Description

Receptionist - The Receptionist will be responsible for providing general administrative support for the Vancouver office, ensure the overall maintenance of the reception area, be the primary point of contact for on site client visits and manage the phone lines to direct incoming calls to the appropriate individuals.Duties & Responsibilities:

  • Phone line management including taking messages and redirecting calls to the appropriate individuals
  • Greet, assist and act as a main point of contact for on site visitors
  • Maintain visitor logbooks and manage visitor passes
  • Monitor Company general inbox and reroute emails to the appropriate staff or department
  • Arrange and confirm travel arrangements and hotel accommodations for travelling managers and incoming foreign visitors as needed
  • Coordinate meetings including managing the Conference Room bookings, handle catering requests and the overall maintenance of the boardrooms
  • Assist departments on incoming and outgoing mail and packages
  • Maintain internal phone directory for all designated personnel
  • Act as Fire Marshall for the occupants of the Executive area, including the HR office
  • Comply with occupational health and safety legislation, BV Group Policies and Procedures, Upstream Minerals Management System Policies and Procedures
  • Act in a safe and professional manner and wear appropriate attire including the required personal protective equipment (PPE) when needed
  • Other duties as assigned or required from time to time
Qualifications & Required Skills:
  • Post-secondary education or Technical Diploma in Business, Office Administration or equivalent required
  • Minimum 2 years experience in customer service, office administration, reception or related
  • Intermediate proficiency in MS Office (Outlook, Word, Excel)
  • Excellent verbal and written communication skills
  • Strong sense of integrity and ability to maintain a high level of professionalism at all times
  • Effective time management skills and ability to maintain a high degree of accuracy
  • Team oriented and able to work independently with minimal supervision
Location: 9050 Shaughnessy Street, Vancouver, BC V6P 6E5Work Schedule:
  • Monday to Friday
  • Core working hours: 8am - 4:30pm
