Job Description

THE COMPANY: We are a financial planning company offering a multitude of services. We offer financial planning in the areas of investment management, income tax planning and preparation, retirement planning, estate planning, and financial risk management.We are looking for a permanent full-time reception & corporate support personnel to start work July 20, 2021 or as soon as possible. Work hours will be Monday to Friday from 8:15am to 5pm. This position is a job-sharing position with the existing Receptionist & Corporate Support person. You will cover reception for one month and then switch to corporate support for the next month and then back to reception the following month etc.This is an entry level position but there is potential for advancement as an administrative assistant with an advisor team if it’s a right fit.RECEPTIONIST JOB DESCRIPTION: · Switchboard including answering phones, checking/relaying messages, screening calls, and distributing incoming faxes· Professionally greet clients and notify planners & assistants· Bring clients coffee/tea/water while waiting for their planner (as needed)· Show clients to their meeting room (as needed)· Distribute in-coming mail & couriers· Prepare outgoing couriers - ICS, FedEx, Flash, etc.· Process out-going Canada Post mail· Review planners’ calendars for meetings each day· Manage boardroom bookings· Track attendance, sick days and vacations· Help other staff as required e.g. stuff envelopes, sort/file paperwork into binders, assemble client folders & mailouts· Broadcast/email memos & faxes received from outside parties· Contact building management with any floor issues re: elevators, bathrooms, general cleaning of lobby/reception area· Track & reconcile invoices for couriers & mail· Reconcile Petty Cash & sundries each month· Maintain lobby and boardroom cleanliness· Manage & organize coffee supplies· General clean up and maintenance of kitchen amenities· Unload and/or load the dishwasher each morning and throughout the day as neededCORPORATE SUPPORT JOB DESCRIPTION: · Process Pre-Authorized Deductions (PAD’s) on both the RBC Express Online & Sage 300 systems twice a month· Maintain & update the PAD trackpad, RBC Express Online system & Sage 300 system for any PAD changes· Print & distribute the monthly fee invoices· Process cheque deposits weekly in Sage 300· Process investment trade tickets when the Processor is away· Liaise with head office on any pending trade tickets as needed when the Processor is away· Arrange for Branch Manager’s signature on investment documents as needed, scan the document to head office, scan & save the document to branch files, and return original document to advisor· Liaise between dead office Compliance and branch personnel regarding compliance issues as needed· Other tasks as assigned by the Office ManagerQUALIFICATIONS & EXPERIENCE: · Must be extremely punctual· Conscientious nature and strong client service skills a must· Very detail-oriented individual who can multitask· Has a strong work ethic, positive attitude, and outgoing personality· A high degree of professionalism and organizational skills· Excellent verbal and written communication skills· Working knowledge of Microsoft Word, Excel, Outlook· Mathematical and analytical skills would be a definite asset· Has at least one year administrative/reception/customer service experienceBENEFITS: · 15 days’ vacation in a year (first year is prorated depending on start date).· Extended health & dental coverage after 3 months.
