BIRS supports over 2,000 mathematical scientists, educators, students and members of the community each year to its workshops, programs and summer schools in Banff, Alberta , and its affiliated stations in Kelowna, BC; Oaxaca, Mexico; and Hangzhou China.Organizational StatusThis position reports to the BIRS Administrator and to the BIRS Scientific Director. This position works closely with and supervises the BIRS Station Manager and BIRS Station Facilitator for program related communication (both are on-site in Banff).Work Performed

  • Coordinates all functions of the BIRS Scientific Advisory Board (SAB) and Equity, Diversity and Inclusion Advisory Board (EDIAB). This includes previewing and evaluating incoming (electronic and paper) applications for BIRS activities to ensure they comply with guidelines, and are scientifically relevant to the BIRS mandate; distributing proposals to the SAB and EDIAB ; and provides consultation to organizers and sponsors of BIRS scientific activities as requested by the SAB and EDIAB , including suggesting ways to improve or strengthen the proposal before its adjudication by the SAB and EDIAB . Corresponds with individual scientists who have proposed activities to inform them of SAB and EDIAB decisions, workshop dates and guidelines.
  • Reviews all communication with BIRS organizers and participants from all over the world prior to and after workshops, to ensure the workshops are run smoothly logistically. Workshops may be running on-site in Banff or its affiliated station, running virtually on zoom, or in the hybrid format of on-site and on-line. Communicates workshop logistics with staff at the Banff station, and site coordinators at the BIRS affiliated centres at Oaxaca, Hangzhou and Okanagan.
- Contributes and edits all the publications of BIRS, including scientific reports, press releases, proceedings, annual reports and brochures highlighting the scientific activities at BIRS. Oversees and maintains the BIRS scientific preprint collection (paper and electronic Reports -often received and published in TeX or LaTeX format.). The position also supervises the distribution of these preprints to the appropriate receptors.- Develops the scientific content of the BIRS webpage, program calendar posters and press releases.
  • Researches and synthesizes data and statistics of BIRS Scientific programs. Works closely with BIRS Administrator on data collection and reporting, conforming to funding agency guidelines.
-This is a job of significant responsibility that requires meeting critical deadlines and managing multiple projects simultaneously. Ability to assess needs and allocate adequate resources on time is an essential requirement. There are certain periods of time during which constant monitoring of projects and high volumes of communication will be needed. Temporary adjustment of work hours may be required. Extra time worked can be compensated before or after this period.- Perform other related duties as required.Consequence of Error/JudgementErrors in scientific judgment could hamper the efficiency of the scientific review process or adversely affect the scientific reputation of BIRS. Errors in the organization or publicity of scientific events could impact the smooth operation of conferences and workshops. Poor or inadequate communication could cause difficulties for visiting scientists, negatively affecting the reputation of BIRS.Supervision ReceivedThis position reports to the BIRS Scientific Director and also takes direction from the BIRS Administrator. Work is reviewed against established principles and guidelines.Supervision GivenThis position supervises the BIRS Facilitator.Preferred QualificationsUndergraduate degree in a relevant discipline.University degree in the mathematical sciences is preferred.Minimum of two years experience or the equivalent combination of education and experience.Expertise in MS Office, Macintosh OS and databases required. Familiarity with Tex, LaTex and HTML Ability to maintain accuracy and attention to detail.Ability to communicate effectively verbally and in writing.Ability to analyze problems, identify key information and issues, make suggestions and effectively resolve.Ability to work effectively with minimal supervision, and make decision based on existing policies and guidelines.Ability to work in a team environment.Ability to exercise tact and discretion.Ability to adapt to changes and be flexibleExpertise in data collection, analysis and reportingQuick Apply
