In the normal course, employees will be hired, transferred or promoted between the minimum and midpoint of the salary range for a job.Posting End DateApril 12, 2023Note: Applications will be accepted until 11:59 PM on the day prior to the Posting End Date above.Job End DateApr 15, 2024Job SummaryThe VSP and Events Coordinator position is a 2-year term that will be responsible for the development, day-to-day management, and execution of activities related to the Vancouver Summer Program within the Department of Mechanical Engineering. This position will also take over the development and management of events and activities related to student recruitment, alumni relations, and outreach for the 2-year time period.The incumbent typically works a standard day; however, flexibility is required as some responsibilities require an irregular schedule, including evenings or weekends.Organizational StatusReports directly to the Manager, Student Services.Works closely with and receives direction from the Communications & Community Engagement Officer and the Associate Head of Equity, Diversity, Inclusion and Engagement.Works in close collaboration with other support staff in the Mechanical Engineering office and within the Department as a whole; Liaises with a wide variety of UBC, and external (colleges, high schools), units in execution of duties; Provides day-to-day supervision to Work Learn and/or Co-op students, and recruits, trains, and supervises volunteers.Work Performed

  • Responsible for the strategic planning, organization, and execution of all departmental activities for the Vancouver Summer Program.
    • Develops and leads a strategic plan to engage international students and build cross-institution relationships with schools or programs in target countries.
    • Manages the development and implementation of program curriculum and scheduling.
    • Develops and executes social/cultural activities that strategically align with program goals at the university and department levels.
    • Develops and manages program budget across multiple packages, including decision making related to resource purchasing and planning
    • Coordinates faculty (instructional staff) recruitment and hiring, in collaboration with Mech HR
    • Manages the full-cycle recruitment of student staff and volunteers. Identifying staffing requirements and management of staff (hiring, training, evaluation).
    • Manages communication with the UBC Vancouver Summer Program central office and other engineering department staff
  • Responsible for the strategic planning, organization, and execution of Departmental outreach events to alumni, first-years, and prospective engineering students.
    • Develops strategy to best engage alumni communities through department-sponsored events. Develops and executes events, including budget management, and works collaboratively with APSC Development and Alumni Engagement office to implement an event communication plan.
    • Responsible for planning and executing departmental student recruitment events, such as APSC 100 presentations, Open House, the First Year Networking Event, and other student information fairs or activities. Responsible for the management of event budgets, for the recruitment and management of faculty/staff/student volunteers, and ensuring event implementation accomplishes intended department strategic goals.
    • Responsible for the planning and management of outreach events and activities for the community. Manages the development and implementation of engineering curriculum for summer camps and public-school workshops. Responsible for scheduled public tours of the Department. Recruits, trains, and oversees staff and volunteers for all outreach events and activities for the community.
    • Represents the Department at formal internal and external events, both student and industry or research related. Coordinates the department participation in faculty-wide events.
  • Provides general day-to-day support, as required, to the Manager and the Communications & Community Engagement Officer. Performs other tasks in keeping with the level, as required.
Consequence of Error/JudgementExercises judgment and tact in dealings with internal and external stakeholders. Poor performance would contribute to inefficient operation, poor service, and ineffective programming, thereby affecting the reputation and credibility of the Department and the University. Lack of accuracy in work could result in damaged relations with stakeholders, decreased enrolment in programs, and misinformation distributed.Supervision ReceivedThis is a responsible position where a high degree of accuracy, maturity and initiative is expected. Works independently under general administrative direction.Supervision GivenResponsible for day-to-day work supervision and training of up to five (5) student assistants; supervision and training of student volunteers. May train new staff on work procedures, and oversees work of temporary staff.Minimum QualificationsUniversity degree in a relevant discipline. Minimum of two years of related experience, or the equivalent combination of education and experience.Preferred QualificationsKnowledge of the Engineering programs and student culture.Experience with student event planning and execution.Ability to work under pressure, prioritize work and meet deadlinesAbility to cope with multiple conflicting priorities and interruptions from visitors to the office.Ability to exercise logic and critical thinking; good judgment and initiative; attention to detail and a high degree of accuracy in work.Strong organizational, planning, and problem-solving skills; ability to plan proactively.Quick Apply
