Job Description

Executive Administrative Assistant /Administrator /Office ManagerJust Governance Group (JGG) requires an experienced administrator who is a dynamic self-starter, highly organized, detail oriented, a problem-solver and a critical thinker. He or she will have at least five years of experience collaborating with a director or senior manager, supporting employees and communicating with clients. The candidate will support all areas of work of the company from the perspective of business administration. She or he will enable the company to grow.JGG is a small, but recognized, company and multinational network that provides consulting services in Canada and abroad in the areas of human rights, justice reform, conflict and peace, and inclusive democratic governance. The candidate will support all dimensions of JGG (corporate, business development, consultancies, and knowledge sharing) from an administrative perspective. She or he will enable the company and network to grow.The main job functions include:

  • Administer company finances (basic financial tasks including invoicing, expense tracking, cash flow analysis; liaise with the bookkeeper and accountant).
  • Support external relations and communications, sometimes using translation software, if not a Spanish speaker.
  • Support financial and administrative aspects of business development, including the maintenance of a database of consultants.
  • Monitor contractual obligations.
  • Support the director with confidential human resource management.
  • Develop the company’s policies and procedures related to administrative functions.
  • Maintain company records in compliance with legal obligations.
  • Manage electronic files, the physical office and support work arrangements in office or remotely
Mandatory qualifications (competencies, experience and skills)
  • Highly professional and discreet in communications with employees and clients.
  • Superior trouble shooting, priority setting and organizational skills.
  • Superior communication skills, including written English.
  • Business administration education or extensive experience providing support and coordination as an administrator, preferably in a social enterprise, non-profit or public organization.
  • Competency across Microsoft applications, including Sharepoint, Microsoft Teams, and Excel.
  • Demonstrated experience tracking expenditures, creating budgets and tracking cash flow in Excel, including use of basic formulas.
  • Understanding of online project management and telecommunications technologies.
