DIGITAL ASSET MANAGEMENT ANALYST (Temporary)ONE POSITION FOR THE INFORMATION TECHNOLOGY DEPARTMENT.FORTY HOURS PER WEEK. TWELVE MONTHS PER YEAR.PLEASE FIND A JOB DESCRIPTION ATTACHED.THIS IS A NEW POSITION AND WILL RECEIVE A FINAL PAY RATING 6 MONTHS AFTER THE NEW INCUMBENT STARTS AS PER THE JOB EVALUATION PLAN.AN INTERIM RATE OF $28.75 AN HOUR WILL BE APPLIED PLUS A LABOUR MARKET ADJUSTMENT OF $3.59.RATE OF PAY AS PER THE COLLECTIVE AGREEMENT.DUTIES TO COMMENCE AS SOON AS POSSIBLE AND WILL CONCLUDE UPON THE RETURN OF THE INCUMBENT OR UNLESS OTHERWISE NOTIFIED BY THE HUMAN RESOURCES DEPARTMENT.Terms of Employment:Twelve-month yearKNOWLEDGE AND EXPERIENCESecondary school graduation or equivalentITIL certification required; a degree or diploma in Computer Science or related technical field an assetMinimum two (2) years of experience in records management demonstrating strong understanding and awareness of records management, information retention and access, and privacy legislation (FOIPPA); coursework in Records Management an assetMinimum two (2) years of experience in asset and budget management including hardware and software inventoryStrong computer skills using MS Office products (Outlook, Word, PowerPoint) as well as the ability to navigate internet and use web-based applicationsAdvanced skills in Excel including pivot tables and VLOOKUP to manipulate data from various systems including JIRA Insight, MyEd BC, DEA system, inventory management systems, and custom applicationsExperience in the creation, development, and writing of technical and training procedures for a non-technical audience as it pertains to assets and records management standardsSKILLS AND ABILITIESActively shows courtesy and respect to all, proactively builds healthy and trusting relationships with all; contributes to a positive working environmentClearly articulates thoughts and ideas and shares timely and relevant information openly, honestly and respectfully using oral, written and visual formatsPossesses strong organizational skills and proactively plans, prioritizes, and organizes workRespects the confidential nature of all information relating to students, parents, and staffRESPONSIBILITIESManage the inventory of the district’s digital assets (hardware, software, data) throughout their lifecycle from acquisition to retirementDevelop IT Asset Management (ITAM) processes and propose enhancements to existing processes to improve accuracy, efficiency, and cost savings for over 12,000 digital assetsCreate standard IT Asset Management (ITAM) processes and oversight for adherence to the processes from our internal and external partners and propose enhancements to existing processes to improve accuracy, efficiency, and cost savingsImplement standard IT Asset Management processes and maintain and track activities to ensure teams are meeting targets for the IT Asset database accuracy and completenessMaintain, track, and audit of all digital and fixed assets (applications, software, hardware, laptops, desktops, etc.) ensuring schools and departments adhere to IT Asset and Record management standardsPerform audit and maintain inventory of district IT equipment including data reconciliation, process mapping, and data reporting. Perform risk assessments to address potential liabilities and identify and prioritize risks related to records and informationCreate technical procedures for assets and records management standards and provide training to District staffReport on end-of-life assets for the refresh programTrack asset allocations for the centralized and decentralized digital computing assets in accordance with established standards and allocated budgetsDetermine what assets can be salvaged, repaired, re-allocated or re-cycledManage financial records as they relate to digital assets (receiving, invoicing, and budget support)Receive assets and move equipment to and from storage and distributionWork with multiple vendors to obtain quotes and process warranty and support claimsDocument processes, procedures, project status, and decisions in support of the Chief Information Officer and the IT leadership teamAct as a Level 1 support to MyEd BC to provide ongoing support and training to the day-to-day operation of MyEd BC for school-based office staff including timetable, parent portal, and registration supportEstablish close relationships with internal and external stakeholders on the identification of records management systems, reporting and analytics needs, and development of solutionsPerform other duties and tasks as assignedQuick Apply
