Job Description

Office Assistant/ Scheduling CoordinatorFull-Time Monday to Friday- 8:30 AM to 4:30 PMMacs Heating was founded by Mac Houston in 1959, we are a 3rd generation, family business. At Macs Heating we primarily serve the needs of property managers, industrial and process customers.This new role will support our management team to ensure our customers receive top-notch service. The successful candidate in this role will need to be flexible and the ability to work from one task to the other with ease. Tasks will change daily and may range from:

  • Organized, correlate and file paperwork
  • Data entry
  • Reception coverage
  • Assist with phone scheduling of annual preventative maintenance services
  • Composing emails
  • Creating internal memos for daily errands.
  • Schedule daily administrative activities
  • Willing to help train others as needed
  • Assist the Operations Manager
  • Various administrative duties
  • Vacation coverage for annual maintenance scheduler
Required Skills and Characteristics
  • Highly organized
  • Knowledgeable and comfortable using computers and multi-line phone system
  • Comfortable speaking on the phone
  • Knowledge of the city
  • Strong Microsoft Office skills (i.e. Word, Excel, Outlook) with the ability to learn our internal systems and tools
  • Ability to learn and adapt to new software
  • Concise verbal and written communication
  • Excellent attention to detail, accuracy and efficiency
  • Highly organized with the ability to manage time
  • Ability to troubleshoot and quickly learn when to ask questions
  • Keen to learn and flexible to take on new tasks to support the team
  • Professional, friendly disposition
  • Once trained; able to work well independently while supporting the team
Experience and Education
  • Completed Grade 12 education
  • 2 years of previous work experience
  • Valid Drivers License
