The Housing Services Clerk works cooperatively in a team environment to provide prompt, thorough and accurate service taking responsibility for seeing tasks through to completion. The Housing Services Clerk is assigned work as required based on changing business needs and priorities.This position is full-time, permanent, Monday – Friday, 35 hours/week based out of the Victoria regional office in Langford.ResponsibilitiesDeliver person-centered support services to tenants as part of a dedicated teamProvide administrative support to the Housing Services Manager and other leaders within the organizationPrepare monthly property and tenancy reports with accuracy and attention to detailAssist with the creation and modification of reports, spreadsheets, and other various administrative documents and communication toolsMaintain various databases and current tenant files including scanning and filing tenant documentation and related communicationReceive and handle incoming calls, email and other inquiries with exceptional customer serviceMaintain confidential informationBring forward anomalies, issues, trends, or complaints directly to your managerCross train in all roles in the department to support team members when they are awayAttend staff and department meetingsQualificationsPost-secondary courses in office or business administrationCourses or training in customer serviceCourses or training in providing service in a Contact Centre environmentMinimum of three years office experience, including at least one year providing detailed information to the publicExperience providing direct customer service to the public, preferably in a Contact Centre environment, would be an assetLevel 1 first aid certificate, or willing to acquireExperience in and with the Indigenous community would be an assetRequired Skills and KnowledgeExcellent grammar, spelling and punctuationKnowledge of the Residential Tenancy ActCompetent conflict resolution skills and the ability to demonstrate patience and tolerance and exercise tact, diplomacy and good judgement when dealing with upset, angry clients with diverse cultural, educational and socio-economic backgroundsExcellent problem-solving skillsAbility to apply legislation, regulations, operating agreements and other information sources for the purpose of assessing and explaining eligibilitySound knowledge of general office procedures and systemsGood mathematical and analytical skillsSkilled knowledge of computer applications including MS Word, Excel, and Outlook, and ability to manoeuvre between applications with easeWe hire employees of all cultures including Indigenous and non-Indigenous.
