We have over 5,000 businesses using our platform and have processed over $8.1B in bookings to date, operating in 136 countries and 36 languagesAbout the JobWe’re looking to add an enthusiastic and driven Operations & Finance Specialist to our Finance Team. This role requires someone with a commitment to organizational excellence and the ability to work well with others to ensure office and Finance processes are running smoothly.Please note the successful candidate for this position must be located in Victoria, BC.Some Operations tasks you’ll be taking on

  • Manage the Facilities budget (in collaboration with team)
  • Track and order office supply inventory
  • Keep the Office & Facilities stocked and full of essentials (kitchen/groceries, office supplies,etc.)
  • Oversee maintenance of office equipment
  • Oversee shipping and receiving functions
  • Oversee external cleaners
  • Parking and building fob procurement
  • Work closely with the IT team regarding office security, protocols, and processes
  • Maintain office efficiency by planning and implementing office systems, layouts , and equipment procurement and maintenance
  • Prepare new hire setups (including packaging for remote employees and first day office tours)
  • Physically assemble desks and chairs for workstations
  • Vendor liaison and point of contact for office and office sublease (fire, electrician, HVAC, tenants, real estate agents, etc.)
  • Schedule ad hoc travel and accommodation for Checkfront staff
  • Run the Joint Health & Safety Committee
  • Support the executive team for any offsite events or in office scheduling
  • Provide event support for company meetings
  • Other miscellaneous tasks as assigned
Some Finance Tasks youll be taking on
  • Support month-end and year-end close processes
  • Assist with managing our corporate credit card accounts
  • Prepare and complete bank deposits
  • Assist with our annual financial statement audit
  • Assist AR/AP functions of the business
  • Check for accuracy in reports, figures, and postings
  • Partner with other departments to assist with various projects to improve business operations
  • Help research, and implement, software to reduce manual tasks.
  • Complete additional ad-hoc tasks as assigned by the Director of Finance

Ideally, you should have
  • Excellent communication skills (written and verbal)
  • Excellent accuracy and attention to detail, effective at managing time and workload
  • A willingness to learn in a fast-paced environment
  • Familiarity with bookkeeping and basic accounting principles and procedures
  • Competency in G-suite, Slack, Zoom, MS Office and cloud-based accounting software (experience with Xero is an asset)
  • Hands on experience with spreadsheets and financial reports
  • Data entry and word processing skills
  • Ability to perform filing and record keeping tasks
  • Post secondary education or experience to support a well-rounded point of view
  • Willingness to learn new tasks and help other teams as needed
