Job Description

Representing BC Transit’s People and Culture department, the People and Culture Coordinator promotes effective working relationships in a team setting with all levels of the organization and stakeholders in the provision of a broad range of People and Culture services to both internal and external customers.KEY ACCOUNTABILITIESActs as the first point of contact for internal and external People and Culture inquiriesSupports the day-to-day delivery of a wide variety of People and Culture servicesPromotes effective working relationships with all levels of the organization and external stakeholders in the delivery of efficient and effective People and Culture servicesProvides information and support on People and Culture programs, initiatives, policies and procedures.Administers the Applicant Tracking System (ATS) and manages the recruitment process for all vacancies, including preparing staff requisitions and postings, creating competition folders, circulating postings both internally and externallyCoordinates all logistical aspects of the recruitment process by arranging testing/assessments, interviews, criminal record checks, post-offer employment tests and trainability assessments and ensures all onboarding documentation is completedPrepares orientation packages and employee personnel filesOrders business cards and nameplates for employeesOrganizes and conducts new-hire first day orientations, and provides names for monthly new employee meet-and-greet sessions with the Senior Leadership TeamAssists with the creation and distribution of a variety of correspondence such as offer letters, letters of regret and employment verification lettersResponsible for position creation/changes and data entry into the People and Culture Information System; completes employee action forms for new hires, position and salary changes, LOAs and terminationsMaintains personnel files, including ensuring regular filing of employee correspondenceOrganizes monthly team meetings and bi-weekly People and Culture Advisor meetings by sending meeting requests, drafting agendas, taking minutes, documenting action items and acting as meeting Chair.Communicates new hires, position changes and employee changesMaintains and publishes organizational charts and monthly employee announcementsEnsures the necessary People and Culture correspondence is posted on bulletin boards and sections of BC Transit’s intranet “The Hub”Completes documentation relating to benefits including benefit summary forms and dependent bus pass eligibility formsTakes the lead on assigned project components, receiving guidance and direction as requiredEnters length of service increases by running reports, reviewing files and performing date and wage calculations in accordance with applicable collective agreements.Manages the Employee Referral ProgramCreates and distributes a variety of reports such as onboarding surveys, criminal record check tracking, internal recruitment reports[AD1] and monthly union membership reports.Collaborates with People and Culture staff to determine People and Culture support requirements and providing progress updatesContinuously assesses administrative procedures and processes and recommends, develops and implements improvements wherever possible.Backfills and/or supports the Executive Assistant and Divisional Coordinator as needed.Assists with case management duties as assignedOther related dutiesEDUCATION, EXPERIENCE AND REQUIREMENTSPost secondary education in business or administration plus a minimum two (2) years related experience in a professional office environment. An equivalent combination of education, training and experience may be considered. Knowledge of the concepts, practices and techniques of the Human Resources (People and Culture) field and familiarity of HRIS systems.
