Job Description

JOB DESCRIPTIONThe Project Coordinator is responsible for assisting Project Manager(s) in coordinating the activities of transit infrastructure project(s) to ensure achievement of cost, schedule, scope, document control, and quality standards requirements. Under the direction of a Project Manager, the Project Coordinator will perform tasks that range from simple to more complex, including schedule and risk management, updating project documentation, project financials and reporting, contract & task administration, and project status updates.You will need to be highly organized, adaptable, and able to prioritize tasks in a deadline-driven environment. You will work both independently and as part of a collaborative team.Some travel will be required.KEY ACCOUNTABILITIESCoordinate activities throughout the initiation, planning, execution, control and close-out phases of the project life-cycleAssist the Project Manager in preparing project documents, presentations, and project agreementsConsistent with the PMBOK (Project Management Body of Knowledge) maintain and monitor project plans, schedules, budgets and expendituresAssist the Project Manager to prepare and execute project work plansAssist the Project Manager in preparing project reporting (budget forecasts, work completion reports, capital progress reports, and other BC Transit Board reporting requirements)Collaborate with BC Transit staff to develop technical specifications for procurement processes (RFP, ITQ, RFQ, etc), supporting technical evaluations that lead to supplier selectionFoster and maintain regular and constructive communications with BC Transit personnel, suppliers, external partners, stakeholders and contractors to ensure achievement of key deliverablesMonitor and update the project risk register, including outstanding issues and resolutionsLead project working groups involving multiple internal and external stakeholdersMonitor budgets, track invoicing, update financial forecastsMonitor and coordinate the work of contractorsComplete any necessary administrative tasks such as meeting logistics, meeting minutes, action items tracking, calendar management, travel planning, etc.Performs related duties as assigned, such as items of a minor nature that do not affect the value of the job.Job Requirements:EDUCATION AND EXPERIENCEPost-secondary diploma or degree, or educational equivalent/work experienceCertified Associate in Project Management (CAPM) designation preferredThree (3) years’ experience assisting complex construction or transportation projects is requiredFundamental knowledge of, and comfort with commercial facilities construction including an understanding of the major building components and systems;
