Position Title:Recruitment CoordinatorAffiliation:ExcludedSupervisor:Manager, Strategic Human ResourcesDate of Revision:June 8, 2021Position SummaryUnder the direction of the Manager, Strategic HR, works closely with Human Resources staff to provide recruitment support services pertaining postings, interviews and orientation and onboarding and well as general administrative support for all human resources related functions. The position requires interaction with district staff, union representatives, external agencies and the public on a variety of matters, and must maintain a high level of confidentiality in the performance of all duties.Duties and ResponsibilitiesRecruitment SupportCoordinates internal and external recruitment activities for all employee groupsAssists in the development of recruitment strategies and utilizes a variety of social media platforms to advertise positionsAttends recruitment fairs/events remotely or in-personCirculates and posts vacancies on Make a Future and internal intranet and other external websites as deemed necessaryPrints posting results and creates competition foldersScreens and shortlists applicants based on position requirements and candidate qualificationsAssists in application of employee tests and any recruitment and selection assessmentsPrepares interview guides for various interview panelsChairs and/or participates on interview panelsAssists in the selection of successful candidates, makes offers of employment to successful candidate and informs those who were not successfulAssists in conducting references checks as part of the recruitment processOversees the orientation process for new employees including health and safety training materials, orientation packages, and email and password informationEnsures competition folders are complete with all corresponding recruitment documentationGeneral SupportActs as a liaison for general HR matters and answers a variety of employment related queries, basic collective agreement and other related questions verbally or in writing, and provides guidance on HR processes and proceduresAnswers confidential personnel inquiries from staff and outside agenciesEnters and updates employee information such as demographics, assignments, schedules, pay information, training records, non-medical related leaves qualifications, experience, and terminations and retirements, etc. to the District’s HRIS ensuring accuracy and meeting established payroll deadlinesGenerates, produces and distributes forms and correspondence relating to hiring, leaves of absence and other employment status changesIdentifies, and upon approval, develops or adapts new processes and/or procedures to improve efficiency and effectivenessPrepares a wide variety of confidential and sensitive correspondence on personnel mattersProvides back-up to CUPE and STA on-call dispatcherAssists in the annual tracking of TTOC availability and provides statistical information on active TTOCs and those on leaves and resigningProvides information to supervisors for probation, trial periods and performance reviews for their assigned staff.
