THIS POSITION ISVITAL TO KEEPING OUR GROWING TEAM ORGANIZED ANDSUPPORTED.WE ARE A YOUNG MENTAL HEALTH ADVOCACYNON-PROFIT SOCIETY THAT IS INTENT ON GROWINGNATIONALLYQUALIFICATIONS: PROFICIENCY IN ZOOM, ADOBE PDF, EXCEL, DBASE,RECORDS MANAGEMENT, SHAREPOINT AND ONEDRIVEKNOWLEDGEABLE IN PRIVACYLOCATED NEAR VICTORIA, BC FOR INFREQUENT TOUCHBASES WITH EXECUTIVE DIRECTORJob Duties: Administration CREATE NEW REMOTE FIL ING SYSTEMCREATE FORMS LIBRARY PRIMARILY IN EXCEL, ADOBE SOFTWARESCREATE VARIOUS REGISTERS SUCH AS MOU, POLICY, RECEIPT REGISTERSUPDATE VARIOUS SYSTEMSMANUALLY BOOK VARIOUS PRESENTATIONS UNTIL OUR INTEGRATEDBOOKING SYSTEM IS IN PLACEUPDATE VARIOUS DATA BASESMINUTE TAKING AT BOARD OF DIRECTOR MEETINGSLEARN AND MASTER THE SOCIETY’S NEW PRESENTATIONS BOOKING SYSTEMDATABASE, AND HAVE SOLE RESPONSIBIL ITY FOR ITS OPERATIONSIMPROVE SOCIETY ADMINISTRATIVE SYSTEMS WITH APPLICATION OFEFFECTIVE TECHNOLOGY;CREATE & MAINTAIN CONTACT LISTS FOR THE VIRTUAL PRESENTATIONSPROGRAM – SCHOOL DISTRICTS, SCHOOLS, COMMUNITY ORGANIZATIONS,AND MORESHARE PROGRAM LOGISTICS & DETAILS: DATE, TIME, ELECTRONICCOMMUNICATIONS VIA PHONE AND E-MAIL REGARDING SPEAKINGENGAGEMENTS & SCHOOL PRESENTATIONS;PROVIDE ADMINISTRATIVE SUPPORT TO THE PRESIDENT IN DAILYOPERATIONS OF THE ORGANIZATION;SUPPORT THE PRESIDENT WITH ADMINISTRATIVE RESPONSIBIL IT IESREGARDING HUMAN RESOURCE MANAGEMENT – REVIEWING CONTRACTSFOR ACCURACY, ARRANGING SIGNATORIES, ETC.MANAGE PROCESS FOR ENACTING PROGRAM INSURANCE FOR PROGRAMS;FACILITATE SOCIETY PAYROLL BY SUBMITTING INVOICES TO BOOKKEEPERMONTHLY; ANDSUPPORT PRESIDENT TO MANAGE VARIOUS ADMIN TASKS RELATED TO STAFFMANAGEMENT.ProgramCoordinationMANAGE THE SOCIETY’S LUNDBECK-OTSUKA ALLIANCE SCHOLARSHIP PROGRAM;ATTEND AND ENSURE EFFECTIVE OPERATIONS OF STAFF MEETINGS ASREQUIRED;PROVIDE ANY LEADS AND INTRODUCTIONS RE: SCHOOL AND COMMUNITYSPEAKING OPPORTUNITIES FOR THE PRESIDENT AND SFS STAFFCOORDINATE AND PARTICIPATE IN ORGANIZATIONAL EVENTS SUCH ASFUNDRAISING, AGM, ADDITIONAL EVENTS, ETCENSURE THE SEAMLESS MANAGEMENT OF SOCIETY PROGRAMS BY SCHEDULINGPRESENTERS FOR SCHOOL PRESENTATIONS AND MAINTAIN EFFECTIVECOMMUNICATION WITH EDUCATORS.ADDITIONAL DUTIESREVIEW FUNDING APPLICATIONS TO DONORS FOR ACCURACY AND FEEDBACK;PREPARE POWERPOINT PRESENTATIONS FOR STAFF AS REQUIRED;WORK WITH THE PRESIDENT TO MANAGE THE SUCCESSFUL DELIVERY AND UPTAKEOF THE PEER SUPPORT TRAINING PROGRAMTRAINING PROGRAM, WHICH INCLUDES ADVERTISEMENT AND COMMUNICATIONSWITH SFS PARTNERS;WORK WITH PRESIDENT AND OPERATIONS MANAGER TO PROVIDE IDEAS,FEEDBACK AND GUIDANCE TO THE SOCIETY’S MARKETING CAMPAIGNCOMMENCING IN 2023;CONTRIBUTE TO STRATEGIES ALONGSIDE THE PRESIDENT AND GRANT WRITERSTO EXECUTE FUNDRAISING STRATEGY FOR SFS;CONTRIBUTE TO THE SOCIETY’S ANNUAL REPORT AND REQUIRED CHARITYREPORTING DOCUMENTS;NETWORK ON BEHALF OF THE SOCIETY AND ATTEND VIRTUAL OR IN-PERSONEVENTS PROMOTING SFS;SEEK NEW OPPORTUNITIES FOR SFS FUNDING ALONGSIDE PRESIDENT AND GRANTWRITERS; ANDVARIOUS RELATED DUTIES AS ASSIGNED BY THE PRESIDENT.Contact InformationREQUIREMENTSRELIABLE INTERNETAVAILABLE MONDAY – FRIDAY FROM 9 – 5 BC TIME.THIS POSITION IS AVAILABLE COMMENCING JULY 25, 2022.THIS JOB POSTING WILL REMAIN UP UNTIL A SUITABLECANDIDATE IS FOUND.SALARY COMMENCES AT $25.00/HOUR.REFER TO: REMOTE OFFICE ADMINISTRATOR IN THE SUBJECTLINE WHEN APPLYINGWE WILL BE IN TOUCH AS TO NEXT STEPSJob Type: Full-timeSalary: $25.00 per hourBenefits:
