Job Description

Tundra Oil & Gas is a Manitoba-based oil and gas exploration and production company and a wholly-owned subsidiary of Winnipeg-based James Richardson & Sons, Limited. We are committed to working together and to getting everyone home safe every day.The Human Resources Assistant is responsible for providing customer service and support in the administration of all components of Human Resources to the entire Human Resources Department, as well as the Managers and employees at this location. The HR Assistant will work closely with the HR Coordinator, with some cross-over in responsibilities. The HR Generalist in Virden will provide onsite guidance for the daily tasks for this position.Reporting to the Director, Human Resources, some specific duties and responsibilities of the HR Assistant include, but are not limited to:

  • Create and maintain employee personnel files.
  • Assist in the recruitment process including: managing the career applications, preparation of job postings, advertising (internal and external), scheduling interviews, assist with pre-screening interviews, conducting reference checks, assist with the regret process, preparation of employment offers, etc.
  • Organize the Virden new hire employee orientation process which includes: preparation of the employee packages, schedule the orientation times, arrange for pre-employment screening, employee picture program management, etc. Conduct the employee orientations as required to support the HR Coordinator and HR Generalist.
  • Assist in the preparation of a variety of employee and HR correspondence.
  • Assist in Human Resources Information System (HRIS) maintenance, data entry, and report writing. Enter all HR & Safety arranged employee training into HRIS.
  • Oversee and manage all HR internal process reports (e.g. new hires checklist, termination checklist, Promotions/Transfers/Changes checklist; Master Position List; recruitment reports; exit interviews; course evaluations; professional development etc.).
  • Distribute to the managers, the quarterly vacation and exception reports once prepared by the Director.
  • Provide primary assistance in booking catering, venue, arranging for the training resource requirements, etc. for employee training sessions and educational opportunities. Oversee on-site set-up and tear down requirements and serve as the trainer’s point-of-contact.
  • Maintain up-to-date filing for all Virden employees.
  • Regular maintenance of the List of Safety Sensitive positions documents any time a job description is assessed or modified.
  • Provide research assistance on any HR related items.
  • Assist with various HR projects as they arise.
  • Other related HR administrative duties as required.
Candidates for this position will possess the following qualifications and competencies:
  • Post-secondary education in Human Resources or Business Administration is required.
  • Prior Human Resources experience is considered an asset.
  • Intermediate to advanced Microsoft Office suite of programs, particularly Excel, Word, PowerPoint and Outlook are required.
  • Prior experience/exposure to HRIS is an asset. We utilize ADP Workforce Now.
  • Knowledge of Manitoba Employment Standards legislation is an asset.
  • Excellent customer service abilities and professional demeanor; sensitivity to customer issues and understanding the importance of diplomacy and confidentiality.
  • Superior listening and interpretative skills.
  • Sound interpersonal and communication skills, both written and verbal.
  • Superior time management skills with the ability to prioritize and multi-task.
  • Strong administrative skills, particularly with manual and electronic filing, and attention to detail skills.
  • High level of initiative, adaptability and flexibility.
  • High level of confidentiality and discretion is required.
  • A high level of self-motivation and initiative, along with the desire to continually improve.
  • Possess attributes such as maturity and judgment, accepts responsibility and accountability, and common sense.
  • Ability to work well under pressure.
