Job Description

Your Opportunity:Reporting to the Manager of Chronic Disease Management, this position provides administrative support to the Chronic Disease Management (CDM) Management team. The incumbent requires a high degree of independence and self-direction, initiative, flexibility, and organizational skills, handling multiple tasks with changing priorities and short deadlines. Duties include: Administrative duties in a variety of programs including but not limited to Microsoft Office suite, RedCap, MediTech, Connect Care, RMS, e-People, and Wix. Completes bi-weekly payroll utilizing e-People, making entries, corrections, running reports and reconciling as required. Stay updated on various Collective Agreements for payroll coding, benefit entitlements, education, and allowances. Coordinating schedules for CDM staff for flex days and vacations. Responsible for inputting RMS requisitions and performing reference checks, and working with IT for accesses for staff. Co-ordinates bookings for Rural RN cardiac appointments through Connect Care. Develop and maintain various departmental documents and reports. Requisitions for new office supplies and maintain current office supply inventory, monitor shipping and receiving. Compiles, codes and sends invoices to Accounts Payable for payment of supplies and services purchased. Receives and screens calls; relays messages; organizes schedules and adjusts appointment for Chronic Disease Management team; prep minutes & agenda and coordinate Teams meetings. Copying documents, emailing, faxing, filing, maintains filing system, sending files to Iron Mountain as needed. Other duties as required.Description:As an Administrative Support IV, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.

Required Qualifications:Completion of post-secondary education (e.g. course(s) in business administration, medical office assistant), or other related fields.Additional Required Qualifications:Post – Secondary Administrative training from an accredited program or commensurate experience is required. Experience: Minimum 5 years progressively responsible experience in admin positions is required. Minimum 3 years experience working with current computer applications and software applications is required. Connect care training is an asset. Knowledge, Skill, Abilities and Competencies: Knowledge of computer technology and applications in current use. Completion of E-People Peer Support User Troubleshooting & Change Management course is preferred. Self – directed and able to work under minimal supervision, or in a team environment. Ability to work under pressure competently; handle frequently changing priorities within tight deadlines. Demonstrated problem solving and decision making skills are necessary to anticipate, identify and independently recommend appropriate actions to problems. Must be flexible in order to accommodate changing workload demands. Demonstrated time management and organizational skills.
