PURPOSEUnder the direction and supervision of the Director of Sales & Marketing, the Group Billing & Conference Services Coordinator is responsible for supporting the Conference Services and Sales department to maximize revenue; and working collaboratively to support the reservations office with group billing and accounts to achieve and maximize operational efficiency and customer satisfaction with timely and effective communication.QUALIFICATIONS
  • High School Diploma or equivalent required.
  • A minimum of 1 year accounting experience
  • A minimum of 1 year experience with reservation and/or front desk in a hotel environment
  • Previous customer service in a fast-paced environment meeting and exceeding guest expectations
  • Excellent time management skills to achieve reporting deadlinesDetailed oriented
  • Excellent problem resolution skills operating in a “win-win” fashion for guests
  • Excellent communication skills: able to listen, understand, clarify, and confirm
  • Excellent Telephone demeanor, professional, courteous and polite
  • Great administration skills – writing, filing, tracking, organizing, phone etiquette.
  • High aptitude with computer including proficient use of Microsoft Word, Excel, and Outlook
  • Knowledge of property management systems, OnQ and Delphi.fdc
  • Able to multi-task and remain organized and professional
  • Able to uphold all guest confidentiality holding guest privacy and security in the highest regard
  • Ability to work independently as well as in a team environment
  • Be supportive of creativity and innovation, and be willing to openly embrace change
  • Able to work in a cubicle/desk set-up, sitting down for majority of an 8 hour shift
  • Flexibility with scheduling allowing for nights, weekends and holiday work as well as possible overtime
  • Outgoing, friendly and positive
  • Absolutely punctual and professional
  • Great knowledge of Whistler area and the property
PRIMARY DUTIES
  • Working closely with both the Conference Services Manager and Tour Coordinator for upcoming invoices required.
  • Utilizing both OnQ R&I and Delphi.fdc to create invoices and process payments for upcoming Group and Wholesale bookings.
  • Work with Accounts Receivable team to ensure timely and accurate billing of Group and Wholesale accounts.
  • Assists the Conference Services Manager and Tour Coordinator with group tasks as needed.
  • Assists and supports the Reservations Manager and the team with any initiatives required to ensure the ongoing success of the hotel.
  • Assists other office staff during periods of absence and down time.
  • Respond to guest requests in a friendly and professional manner. While always focusing on guest satisfaction
  • Provides a professional image at all times through appearance and dress
  • Resolve work-related problems and prepare and submit progress and other reports.
  • Follows company policies and procedures including hotel safe work procedures and policy
  • Other duties as assigned by supervisor or management
